Program Coordinator II - Training/Selection - (STA008766)



Coordinates and provides senior-level administrative support to an ongoing program at the University.

  1. Coordinates program to ensure that implementation and prescribed activities are carried out in accordance with specified objectives.
  2. Participates in planning and develops methods for program implementation and administration; coordinates program activities and processes.
  3. Reviews program records and reports of activities. Recommends modifications to methods or procedures as required.
  4. Prepares recurring and ad hoc program reports for management use.
  5. Assists in preparing reports, proposals, manuals, and other documentation as required for the program.
  6. Participates in budget planning and is responsible for controlling expenditures in accordance with budget allocations for the program.
  7. Conducts formal training or gives instruction regarding program policies and procedures.
  8. Interacts with faculty, staff and students to promote the goals and objectives of the program.
  9. Develops and maintains database on research studies, policy issues, etc.
  10. Performs other job related duties as required.

Under the supervision of the Associate Director for Residential Life, the Coordinator for Student Staff manages all aspects of student staff recruitment, selection, and training for the department of Student Housing & Residential Life (SHRL).

ESSENTIAL DUTIES AND RESPONSIBILITIES include, but are not limited to, the following:

Staff Recruitment and Selection
  • Collaborate to develop a comprehensive marketing, recruitment, and selection plan for SHRL student staff to include, but not limited to, recruitment, advertising and marketing, application development and management, evaluation process, grade checks and grade probation, accountability standards, re-hire process to hire a diverse staff.
  • Establish selection process for graduate and undergraduate student employees throughout SHRL (Graduate Assistants, Resident Assistants, Desk Assistants, and Community Mentors).
  • Develop and oversee student staff evaluation.
  • Laisse with the Business Office to ensure all Human Resource documentation and required training is completed for student staff.
  • Collaborate to develop a comprehensive marketing, recruitment, and selection plan for Residential Life Coordinator search processes
  • Collaborate to develop a comprehensive marketing, recruitment, and selection plan for Supervisor of Residential Desk search processes
Training
  • Create and execute a comprehensive curriculum-based training program for residential life staff including:
    • Student staff trainings: at least 3 per year (fall, spring, summer)
    • Onboards new staff who start after the fall semester
    • Oversee student staff monthly in-services
    • Develops and learning outcomes for all trainings and assesses the outcomes
  • Establish training requirements for residential life student staff members: Community Mentors, Resident Assistants, and Desk Assistants
  • Establish training requirements for professional residential life staff including Supervisors of Residential Desks and Residential Life Coordinators
  • Develop and maintain a training tracking system (database) for residential life student staff
  • Manage training budget
  • Develop and update student staff training manual(s), training materials and resources for staff
  • Work closely with the Residential Life staff to be responsive training needs or current trends.
  • Update the Operations Manual for all pertinent residential life protocols
  • Utilize ACUHO-I professional competencies and other Student Affairs professional competencies to inform best practice with training
  • Laisse with the Business Office to ensure mandatory training is completed for the department.
  • Coordinate Residential Life Coordinator and Supervisor of Residential Desk training in collaboration with the Associate Director, Assistant Directors and Program Coordinators
  • Plan continuing education throughout the year via staff meetings
  • Develop and maintain a training tracking system (database) for residential life staff
  • Work closely with the other Assistant Directors to provide staff with training on their focus areas (Living Learning, Conduct, Staffing/Advising)
Department, Division, and University Committees
  • Serve on the SHRL Professional Development Committee
  • Participate in department committees
  • Respond to emergencies as needed, such as, crisis and emergency response; facility maintenance; serve on SHRL ride out team for campus emergencies.
  • Maintains knowledge of federal, state, and local laws, UH MAPPs and SAMs and general policies and procedures applicable in a higher education residential life setting. Continues to read and study current literature on student learning, student development theory, management theory, and student affairs.
  • Establish and maintain collaborative relationships within the department, with other departments, student groups, the university community and stakeholders.
  • Work with and support cross-functional teams and to foster teamwork
  • Develops strategies in line with the SHRL Mission Statement to enhance residents’ experiences. This includes recommending and initiating solutions to problems or issues in systems procedures, ensuring residents’ needs are continually met in a supportive, caring manner
  • Assist with other projects as directed

Qualifications :

Associates and 1 year experience

Education: Requires the ability and knowledge for analysis and interpretation of procedures, policies and practices attainable through specific education and/or training programs in a specialty or technical field. Advanced vocational or electronic skills or a basic knowledge of a professional field is required. An Associate's degree or certification/licensing in a technical specialty program of over 18 months and up to 3 years duration are characteristic of this field.Experience: Requires a minimum of one (1) year of directly job-related experience.
