Job Summary/Basic Function:
The Executive Assistant provides secretarial and administrative support to the President. The Executive Assistant manages and maintains the calendar of the President and is also responsible for administrative support including but not limited to duties essential for effective operations of the office. The Executive Assistant plans and coordinates key constituency events for the President, often in partnership with other offices on campus.
ESSENTIAL JOB FUNCTIONS :
High school diploma required with a minimum of 4 years administrative assistance experience required; or equivalent combination of education and experience.
This position requires confidentiality, discretion and excellent judgment, as well as exceptional interpersonal skills. Experience working in a professional office environment required. Proven organizational abilities, demonstrated verbal and written communication skills, accuracy and follow through are essential. Initiative, flexibility, strong team skills and a sense of humor are important.
Preferred Qualifications:
Bachelor’s degree and experience in higher education is preferred.

- Schedule appointments and meetings, providing and coordinating necessary materials and communications for the President.
- Make travel arrangements, prepare itineraries, logistics and materials for the President.
- Serve as primary contact for the President’s Commission and, working with relevant campus offices, organize semiannual meetings of the Commission.
- Work with relevant on and off-campus constituents to organize special events and activities for the Office of the President.
- Arrange for regular and timely mail pick up; open and organize office mail and distribute to the appropriate people.
- Responsible for answering the main phone line in the office, responding to inquiries and making referrals when appropriate.
- Prepare correspondence, reports and other documents as needed by the President.
- Providing excellent customer service to all constituencies over the phone and in person.
- Handle very confidential and sensitive information on a daily basis.
- Ability to work closely with the team in the Office of the President.
- Perform other duties as assigned.
