Position Purpose

To manage the daily administrative and financial activities to facilitate an efficient administrative infrastructure supporting the department’s multi-disciplinary academic and research goals.

Description

Required Qualifications - Education and Yrs Exp

Associates plus 3+ years' experience or equivalent combination of education and experience

Required Qualifications - Skills, Knowledge and Abilities

· Three years of financial or general office experience.
· Associate’s degree with a major in accounting, business administration, or the equivalent work experience.
· Excellent verbal and written communication and interpersonal skills.
· Attention to detail and essential high degree of accuracy.
· Proficiency in a variety of computer applications, including Excel; willingness and ability to learn additional computer applications as needed.
· Ability to work effectively, independently, and as a member of a team.
· Ability to exercise discretion and maintain confidentiality.

Preferred Qualifications

· Initiative, independence, sound judgment and problem solving skills.
· Ability to plan work, set priorities, and respond to pressures, deadlines, and changes in schedules and priorities.
· Familiarity with Dartmouth accounting systems and procedures.
· Ability to work effectively with all constituencies in a diverse institution.
· Financial transaction processing experience.
· Flexibility and openness to change.

Key Accountabilities

Description

Financial
· Prepares and processes iExpense reports, procurement requisitions, invoices, payables, journal transfers, deposits and purchase orders in a timely and efficient manner.
· Maintains accurate and up-to-date payroll records to ensure that timesheets are prepared in an appropriate and accurate manner.
· Performs data entry and runs reports in financial systems and databases, researches transactions and accounting details to support with financial analysis.
· Communicates respectfully with internal and external constituents while delivering exceptional customer service, ensuring responsiveness, accuracy, and discretion when appropriate.
· Regularly handles confidential or sensitive information, exercises discretion concerning its disposition.
· Coordinates and communicates about financial transactions with Geisel Finance Center and Dartmouth offices.
· Interprets, applies and explains department and Dartmouth policies and procedures.
· Maintains financial files and department databases, following records retention procedures. Facilities records retention for others in the department.
· Assists as needed with grant applications and progress reports.

Planning and Coordination

· Manages, plans, and coordinates the department conference room calendars.
· Coordinates and schedules a variety of activities.
· Coordinates with other offices and departments to arrange co-sponsorship of events.
· Assists, Plans, coordinates, and oversees projects related to department programs.
· Coordinates and arranges special events (conferences, dinners, luncheons, retreats, etc.) including organizing logistics for speakers, locating and reserving facility space, arranging for necessary services, coordinating schedules and itineraries, and overseeing actual event.

· Delivers exceptional customer service, ensures responsiveness and accuracy.
· Interacts regularly with a wide range of internal and external constituents and staff members and conveys information on behalf of the department.

Description

General Office Support
· Maintains office files and department databases, following records retention procedures. May act as Records Custodian for the department.
· Maintains office equipment and orders office supplies.
· Coordinates with Geisel Facilities office on office moves and other facility related issues.
· On-boards and orients new employees and visitors to the office and the community.
· Supports the office’s mission to foster inclusiveness and diversity.
