Job Summary

This Receptionist/Office Assistant will be the initial point of contact for phone calls received on the main phone line as well as for walk-ins to the main office. This position will receive, document and redirect communication as needed and maintain the office in a professional manner. The successful candidate will have proven work experience as a receptionist, front office representative and industry experience is a plus.

Essential Functions
  • Answer and direct phone calls in a polite and friendly manner.
  • Welcome visitors in a warm and friendly manner and answer any questions visitors have.
  • Keep detailed and accurate records of resident requests and prospect calls entering information into YARDI when needed.
  • Ensure reception area is tidy and presentable, with all necessary materials (e.g., move in folders, key return forms).
  • Take inventory of supplies and restock as needed.
  • Receive deliveries; sort and distribute incoming mail.
  • Maintain facility by controlling access to building via the reception desk.
  • Work with Yardi software to properly code incoming rent payments to correct resident accounts.
  • Maintain the general office filing system.
  • Assist in meeting with prospective renters and take them on tours of the units that interest them during prime renting season.
  • Assist with lease signing, tenant move-out and key return processes.
  • Assist with the coordination of property maintenance by entering service requests into YARDI system and working with Property Manager.
  • Other duties as assigned
Required Qualifications
  • HS Diploma or GED
  • 2-3 years of relevant experience in an office environment
  • Professional attitude with a focus on providing excellent customer service
  • Solid interpersonal skills, including strong phone and verbal communication skills
  • Comfortable multi-tasking and prioritizing tasks without guidance
  • Excellent organizational skills and proficient in Microsoft Office
Preferred Qualification
  • Experience with YARDI property management software
