POSITION SUMMARY

Provides excellent customer service to students, families, supporters, staff, and faculty. Supports all Disability Services reception desk administrative duties including but not limited to scheduling appointments, answering the phone, supporting students with assistive technology, and providing testing support services as necessary. Reports to the Manager of Disability Services Department. This position will include some evening shifts and is not eligible for remote work.

ESSENTIAL JOB DUTIES AND KEY RESPONSIBILITIES

1. Receive, direct, and refer visitors including students, student supporters and advocates, faculty, college personnel and community members; handle phone calls, take and relay messages, provide appropriate information regarding accommodations documentation requirements, schedule and track intake, and other student appointments. Provide front-end triage to refer students to the appropriate support services at JJC.

2. Demonstrate competence and situational leadership to support the diverse academic, socioeconomic, cultural, ethnic, and disability backgrounds of college students.

3. Maintain strong communication with Manager regarding updates, day-to-day operations, concerns related to accommodations, etc.; work collaboratively with other departments and external contacts to organize and arrange accommodations and concerns. Review office procedures and suggest to the administrator necessary changes; assist in the development of the department organizational chart.

4. Assist and direct students on proper understanding of school/Disability Services policies and requirements. Support student success by providing assistive technology support to students registered with Disability Services using the Resource Room, assist with preparing reports, updating forms and records, data entry, and generating accommodation letters for students registered with Disability Services. Participate in preparation of accommodated testing materials and monitoring of tests as appropriate. Accept and process testing materials as needed including the scanning of printed materials into accessible formats such as Kurzweil, enlargements or braille.

5. Prepare payroll for staff, student workers, and contractual employees; process assessments including questionnaires and surveys; submit requests for facility use, work orders, accommodations arrangements; plan and schedule events. Order and maintain inventories of supplies; maintain subscriptions and memberships; communicate with publishers and vendors.

6. Maintain strict confidentiality of student data; manage and maintain medical documents in accordance with HIPPA laws.

7. Prepare correspondence, documents, internal and external reports and other related materials. Update and maintain mailing lists, records, handbooks, databases, and files. Assist with preparation and maintenance of student files either for intake or ongoing services. Prepare agenda, take minutes at the department meetings, and maintain records of minutes.

8. Demonstrate sound professional judgement, exhibited in areas including, but not limited to: raising issues to the appropriate team member(s), assisting students in distress and presenting with a range of emotions, diffusing escalated and conflict situations, effective prioritization and responsiveness with competing priorities.

9. Ability to type accurately, and proofread carefully. Ability to perform multiple tasks simultaneously.

10. Ability to learn new software quickly including the SARS scheduling system.

11. Attentiveness to detail, excellent organizational skills, initiative, math aptitude.

12. Participate in achieving departmental and college goals and objectives.

13. Perform related additional duties as assigned.

MINIMUM QUALIFICATIONS

1. H.S. diploma or equivalent.

2. Three (3) years of progressively responsible administrative support experience, preferably in the community college environment; with prior experience working with students with disabilities.

3. Demonstrated proficiency navigating Windows based computer systems and a thorough knowledge of several software applications including Microsoft Office, Ellucian (or similar), portal, email, and Internet; knowledge of and experience with modern office practices and procedures.

4. Track record of attention to detail, excellent organizational skills, ability to work independently and communicate with a diverse employment population.

5. Strong verbal and written communication skills, and ability and willingness to work cooperatively with a diverse population.

PREFERRED QUALIFICATIONS

1. Associate’s degree with one year of related experience working with individuals’ disabilities, and accommodations; preferably in higher education with a knowledge of college courses and programs. 2. Prior knowledge of ADA laws including Title II of ADA Act and Section 504 of the Rehabilitation Act of 1973 and reasonable accommodations; includes a basic knowledge and understanding of various disabilities.

3. Knowledge of sign language.

4. English and Spanish verbal and written communication proficiency.

5. Demonstrated multicultural competence.

6. Ability to establish and maintain cooperative and effective working relationships with other members of the college and community, displaying cultural competence as well as emotional intelligence.

PHYSICAL DEMANDS

1. Normal office physical demands.

2. Ability to travel between campus locations and to and from community events.

WORKING CONDITIONS

1. Duties are performed indoors in the usual office environment.
