CONTEXT OF THE JOB:

Under the general supervision of the Academic Program Manager, the Administrative Assistant III performs complex duties, both routine and non-routine, which include organizing and coordinating administrative activities in support of various Office of Academic Enrichment (OAE) programs. The Administrative Assistant III handles and prepares information and maintains program-related records requiring accuracy and discretion to safeguard personal information for program participants. The Administrative Assistant III approves and reconciles hours for miscellaneous wage and graduate and undergraduate student tutors, which are charged to many different funding sources.

MAJOR RESPONSIBILITIES:
  • Reviews tutor applications and identifies students to be interviewed and trained across several OAE programs including individual tutoring, PASS, Study Groups, Drop-in and the Get Ready program.
  • Coordinates communication to set up meetings, classroom reservations, and other program events needs led by the Program Manager during the academic school year and summer.
  • Supports triaging the front desk, monitors student workers and troubleshoots common errors in the Blue Hen Success tracking system.
  • Maintains and updates the OAE website, Drop-in tutor calendar, student records, and various Google forms to track all OAE tutor services, including attendance and academic support.
  • Assists with the recruitment of new tutors, tracks, and responds to tutoring requests from staff & students with specific class needs.
  • Collects data to support reports for special programs including Athletics, RISE, EXCEL, AGCELERATE, SSSP, NWD Scholars, UST, UD Scholars, ADAPT Scholars, Get Ready-New Blues, etc.
  • Responsible for summarizing OAE financial information; assigns ProCard allocations for card holders. Approves and reconciles payroll for student tutors & part-time staff in UD Workforce. (Manage paperwork for new hires, JEDs, and s-contracts.)
  • Assists Academic Program Manager with preparations for the summer Get Ready program including event planning, training, general logistics and meeting coordination; collects participant data and prepares correspondence for other departments, prospective students and their guardians/parents; maintains accurate records of all participants and monitors billing process.
  • Performs miscellaneous job-related duties and general administrative support as assigned.


QUALIFICATIONS:
  • Minimum of a high school diploma or GED, Associate's degree preferred, and three to five years of related experience.
  • Experience in an educational setting is preferred.
  • Knowledge of office practices and procedures.
  • Knowledge of UD Workforce systems and payroll preferred.
  • Proficiency using standard computer software programs specifically Word Press, Microsoft Office (Access, Excel, Word, and PowerPoint) and Google Apps.
  • Ability to handle multiple assignments; concurrently, establish planning process/priorities, and meet deadlines.
  • Ability to communicate effectively and interact well with people of all ages and diverse backgrounds.
  • Effective interpersonal and organizational skills.
  • Ability to show initiative, problem-solving, and use discretion.
  • Ability to analyze, interpret data and make independent decisions.
  • Demonstrates an understanding and consideration of the differing needs and concerns of individuals with varying identities, cultures and backgrounds.
