Position Summary:
Provides program coordination for the Center for Teaching, Learning, and Research (CTLR) and its partners as well as reception and administrative support for the timely execution of center services and special projects.

Essential Functions:
Offer is contingent upon successful completion of a criminal background check.

Provides event planning, organization and support for center and partners by coordinating event logistics including space setup and breakdown, event staffing, venue reservations, catering, calendar posting, travel and lodging, tax forms, publicity and media services. Collaborates with colleagues to determine and articulate event objectives and outcomes.

Assists with hiring of all students connected with CTLR programs and funding—peer tutors and summer research assistants. Recruits, hires, trains, and supervises student office staff and completes time approvals. And is the proxy for all student positions. Works with center directors, Student Employment and other campus partners on guidelines and best practices for relevant student positions. Serves as primary administrative coordinator for tutoring activities related to the CTLR.

Manages processing student competition applications, awards and payment, including travel arrangements, documentation and reimbursements. Meets regularly with the Associate Dean for Fellowships and Undergraduate Research to manage these processes and support fellowships and undergraduate research program activities, including interview and selection committee organization, student outreach, and email management.

Reviews and reconciles Procurement Card transactions.

Primary manager of URO and Fellowships email inboxes.

Staffs center’s reception desk to welcome students, faculty, alumni, prospective students and other visitors to the CTLR. Answers inquiries and directs people to appropriate resources or programs. Coordinates student staff coverage of reception desk during center’s extended hours or when additional coverage is needed due to events or absence.

Manages CTLR online calendars by creating and updating postings for CTLR and partner events and student tutoring activities. Also, tracks event registration, waitlists and attendance for event organizers and center data. Assists with center website and online resource updates.

Assists with center data collection, processing and reporting, especially related to events.

Assists with coordination and event support for the center’s annual programs: Academic Roundtable Series, Learning Institute, Teaching and Writing Retreat, J-Term Pedagogy Series and the Spring and Summer Research Symposium.

Assists in the coordination of all CTLR programs and events as part of the CTLR administrative support team.

General Responsibilities:

Qualifications
Education:

Associate’s degree or equivalent office management experience required.

Knowledge, Skills and Abilities:
Strong organizational and communication skills. Ability to organize long- and short-term projects while prioritizing essential tasks and meeting deadlines. Attentive to detail, creative, flexible, curious, and willing to develop new competencies as required. Ability to manage confidential records appropriately, work independently, seek direction when needed, and balance multiple priorities. Success working both independently and collaboratively in cross-functional teams. Understanding of cultural, social, economic, ethnic, and other forms of diversity, and its importance to the College’s mission, required. Demonstrated desire to work with college-aged and diverse populations.
Must have excellent computer skills. Knowledge of Microsoft Office, Excel, Hyperion (or reporting system) and Content Management System, Outlook and file sharing. Oracle software knowledge preferred. Good writing and proofing skills are required. Ability to learn multiple computer systems/programs.



Experience:
3-5 years of previous administrative office experience.
