Position Details
The Office of Admission at Wesleyan University serves as the hub of activity and point of first contact for the University for thousands of prospective students and families. The admissions team is responsible for generating, processing, and reviewing more than 13,000 first-year and transfer applications and hosts over 15,000 individual visitors on campus annually. In addition, the office promotes the university virtually and hosts admission events all over the world.

Reporting to the Manager of Enrollment Operations this position provides primary support for the university’s diversity initiatives including processing of travel grant applications and fly-ins for Fall open houses, WesFest, and CBO event, as well as budgetary management for fall and spring fly-in programs.

Responsibilities includes:

  • Preparation and coordination of communications, compiling data for reports, expense reimbursements, travel scheduling, and off-campus event programming.
  • Provide primary support for an admission dean and the international admission committee during selection/application review.
  • Provide administrative support for the Director of Admission. Support all admission application functions including scanning, data entry, and communication with applicants.
  • Perform clerical duties that include processing incoming/outgoing mail and email.
  • Serve as the point person for processing of COF (Certification of Finances) and I-20 forms for international applicants and as the admission administrative liaison for the Office of International Student Affairs.
  • Coordinate the processing and review of final high school transcripts.
  • Provide phone support as member of office phone coverage team and seasonal phone support for the Financial Aid Office.
  • Supervision and training of student employees, including SOC (Student of Color) interns.
  • Perform similar and related administrative duties as assigned.

This position is a 1.0 FTE in the secretarial/clerical bargaining unit. The work schedule for this position is 35 hours per week for 52 weeks per year.
Minimum Qualifications
Associate Degree and four years of related experience or an equivalent combination of education, training, and experience.
Excellent communication and interpersonal skills, incorporating sensitivity and sound judgment. Ability to liaise effectively with faculty, students, parents and other university personnel. Demonstrated proficiency in Word & Excel
Proven ability to manage multiple tasks with attention to details.
Demonstrated commitment to work within a diverse environment and interact collegially with individuals of different backgrounds.
Demonstrated attention to detail.
Preferred Qualifications
A familiarity or ability to learn a Client Relationship Management ( CRM ) system.
Previous experience in higher education.
Experience in admission and data-generation, running queries, and responding to ad hoc data requests.
