Job Summary:

The Administrative Manager reports to, and provides specialized administrative support to, the Director of Mental Health Services (MHS) at University Health Services (UHS). This individual must be able to effectively handle and manage confidential information with discretion and adherence to all state and federal laws on a routine basis. The incumbent in this role may organize activities, prepare documents, schedule meetings, participate in meetings and collect and direct information for the Director of Mental Health Services and as necessary for Associate and Assistant Directors.

In addition, the Administrative Manager supervises the MHS administrative staff in managing daily responsibilities, coordinating front desk functions, and participating on various UHS and university committees / work groups. This position is also responsible for the staffing (recruitment, hiring), training, performance management, and annual evaluation of administrative
staff, as well as scheduling and leave approval. As part of the administrative team, the Administrative Manager provides direct service via front desk coverage and answering phones to ensure adequate client/patient service as needed.

Direct administrative support to the Director of Mental Health Services includes, but is not limited to, managing calendars; using independent judgment to assess the urgency of problems and questions and referring to the appropriate Mental Health Services leadership staff; assisting with correspondence, reports and memoranda; reviewing materials for publication; and preparing documents in support of UHS Mental Health Services operations.

The Administrative Manager will also coordinate the search and screen processes for the hiring positions in UHS Mental Health Services; support the onboarding of staff; and orient new staff to adminstrative processess. This position also supports conference/meeting registration and travel for MH staff.

This position requires proactive planning and independent problem solving skills as well as excellent written and spoken communication skills, computer skills, and organizational abilities.
