Description/Job Summary

Reporting to the Chief Information Officer (CIO), the Administrative Assistant supports the overall needs of the ITS division. This position also provides direct secretarial support to the CIO for a variety of administrative tasks including research, ad-hoc and regular reporting, presentation preparation, high-level communications and correspondence, and various liaison duties.

Responsibilities/Duties
  • Enter purchase requests, etc., into the Financial Management Information System.
  • Provide confidential and efficient administrative and secretarial support to the CIO, to include drafting reports and correspondence, budget tracking, answering telephone, maintaining the CIO’s calendar, scheduling meetings and appointments, making travel or conference arrangements, greeting visitors, and related duties.
  • Provide documentation of meetings, track and provide follow-up for action items.
  • Perform, coordinate, and/or supervise special projects as requested by the CIO.
  • Track and order office supplies and maintain supply storage areas.
  • Assist in the preparation of departmental budgets.
  • Develop and implement office procedures as requested by the CIO.
  • Ensure accuracy of items requiring signature or approval of the CIO by reviewing them for typographical errors, formatting, and internal consistency.
  • Provides customer-oriented quality service to the students, faculty, staff and guests of Baltimore City Community College displaying exceptional organization, professionalism, communications and attention to detail.
  • Other administrative duties as assigned by the CIO.
Required Experience
  • Ability to maintain confidential materials.
  • Ability to work on multiple projects simultaneously with minimal supervision.
  • Ability to work with a diverse population.
  • Ability to adapt to a fast-paced work environment and one dealing with many complex and sensitive issues.
  • Ability to communicate effectively, both orally and in writing
  • Ability to establish and maintain effective working relationships
  • Ability to utilize a PC and related hardware and software, including Microsoft Office, and specialized applications for word processing, spreadsheets, relational databases, graphics packages, and assembling, manipulating and/or formatting data and/or reports.
  • Knowledge of quality service principles and methods
Required Qualifications
  • Associate degree in business or related field or equivalent experience
  • Minimum 5-years progressive experience in an office setting
