Clinical Coordinator

Job Description Summary:
The University of La Verne Physician Assistant Program located in Pomona, CA is seeking a Clinical Coordinator to join its team. This person will report to the Program Manager and serve as the primary clinical coordinator for the Director of Clinical Education.

This is a multifaceted position requiring a blend of strong administrative and public relation skills.

Specific Duties:
  1. Provides administrative support for the faculty Director of Clinical Education and the PA Program Manager.
  2. Maintains database files in clinical year database (Exxat) to include: affiliation agreements, preceptor applications, licensure/ board certification verification for preceptor, review student tracking of patient encounters and technical skills
  3. Assist with managing the schedule for post-clinical activities week, assign end of rotation examinations, proctor examinations for clinical year students.
  4. Work with director of clinical education to identify and schedule student clinical rotations, manage movement of students in conjunction with clinical faculty
  5. Ensures accuracy of information distributed to students, staff and faculty
  6. Review clinical year data base to ensure student compliance with placement in all required rotations
  7. Communicate with clinical sites to maintain relationships and ensure smooth flow of required paperwork.
  8. Remain up-to-date on standards and compliance requirements for the Accreditation Review Commission on Education for the Physician Assistant (ARC-PA) and program administration to ensure compliance with standards.
  9. Ensures confidentiality and controls access to sensitive information such as student files, ensure that all required student records are up-to-date (HIPAA, background check, health records, letters of good standing) specific to each clinical rotation site.
  10. Assists with updating, distributing, and review of survey results (preceptor surveys and evaluation of students, student evaluations of clinical sites)
  11. Assists with overflow work
  12. Other duties assigned, as needed


Minimum Qualifications:
  • Proficiency with Microsoft Office 365
  • Bachelor’s degree or combined experience/education
  • Relative experience as a clinical coordinator


Preferred Qualifications:
  • Relative experience as a clinical coordinator
