Job Summary

The Associate Director, Enrollment Management and Student Success (EMSS) Finance and Administration is responsible for assisting the Executive Directors, Finance and Administration, in overall administrative operations of the Division for Enrollment Management and Student Success (EMSS). Working with the Executive Directors, the position manages and coordinates all the Division’s business functions including financial management, budget planning and development, facilities management, general human resources support and fundraising.

Essential Functions

University Budget & Finance
  • In conjunction with the Executive Director, prepare and distribute departmental budgets. Monitor all budgets within the Division; review and approve budgeted actions, prepare recommendations on unbudgeted actions, and maintain interface with Vice-Presidents, Department Heads and administrative personnel ensuring compliance.
  • Coordinate the preparation and financial statements, financial reports and special analyses, including forecast and variance reporting.
  • Coordinates the delivery and reporting of the budgets within EMSS for Student Life, Housing, Steinbright Career Development Center and Athletics
  • Track personnel operations for both professional and student staff
  • In conjunction with the Executive Director, identify revenue sources for the Division’s operations and facilities needs.
  • Partner with the Office of General Counsel, Risk Management, and Procurement to procure all external services that require contracting.
  • Manage day-to-day operations of all financial transactions, which include purchase orders, check requests, and purchasing cards
  • In the absence of Executive Director, Finance and Administration, represent EMSS at Budget meetings and prepare requested reports for Office of Budget and Finance for the Division.
  • As needed, train employees on budget and administration process, specifically travel policies.
  • Administers the Semi-Annual Finance Security Review for EMSS.
  • Back-up support for all facility related issues for EMSS
  • Work with Executive Directors of Finance and Administration to prepare and present training to EMSS staff related to contracting and procurement policies and procedures.
Human Resources Support
  • Responsible for general human resources support for a division of 350+ Enrollment Management & Student Success employees.
  • Provides consultation and parameters in areas of performance management and compensation.
  • Facilitates the hiring process for the division, from ensuring position descriptions and business cases are up to date, posting positions in Page-Up and delivering Enrollment Management and Student Success (EMSS) onboarding and orientation efforts.
  • Member of the Position Control Committee for the University.
  • First point of contact to ensure EMSS staff’s compliance with the University’s Compliance and Privacy Program.
  • Assist in management of the EMSS Web Merit process.
  • Manage administration of student staff employment program for Enrollment Management and Student Success (EMSS), including but not limited to new hire process, transfers, terminations, and payroll issues.
  • Work with HR Talent Acquisition team to prepare and present training to EMSS hiring managers to ensure best practices are met related to recruiting, hiring and onboarding new employees.
  • Manage EMSS new employee onboarding process.
Other duties
  • Act as petty cash officer for Enrollment Management Planning.
  • Assist in the general development of office policies and procedures.
  • Assist with University programs such as Orientation and Commencement.
  • Serve as a resource for students, faculty and staff in matters related to student organization finance.
  • Fulfill other duties as assigned.
  • Manage EMSS document retention program.
Required Qualifications
  • Bachelor’s Degree
  • Minimum of 3 years of experience of financial and/or HR processing
Preferred Qualifications
  • Higher education experience a plus.
  • Computer proficient; experience using Microsoft Office, knowledge of Excel preferred.
  • Excellent communication skills, both verbal and written.
  • Experience working with diverse populations.
  • A caring, compassionate, patient, and helpful personality alongside a desire to serve and help students, co-workers, families, and related constituent organizations resolve issues or questions.
  • Must be willing to work as part of a team in a fast paced, goal driven environment, and maintain a positive attitude.
  • Ability to work some evenings and weekends.
  • Other duties as assigned.
