General summary/purpose:

The Sr. Program Coordinator is responsible for supporting JHU - and Jhpiego-affiliated Afghan evacuees/refugees through provision of pre-migration and post-arrival services.

The person in this role will be responsible for managing communications, responding to inquiries, tracking data, and working directly with Afghan evacuees under supervision of the Chief HR Officer. They will also serve as a liaison to, and point of contact for, partners such as the Bloomberg School of Public Health; central university administration; JHU community service organizations; and local non-profit organizations, religious organizations, churches, mosques, mental health partners, and recreational organizations to provide services and support their successful resettlement in the United States.

Specific duties & responsibilities:

  • Serve as a central point of contact for all inquiries from Afghan affiliates, including current or former Jhpiego employees and former employees of the Johns Hopkins University Bloomberg School of Public Health
  • Create consistent communications through management of a shared email inbox; running a WhatsApp group for Afghans; and developing and maintaining website communications, standardized answers to questions, etc.
  • Maintain immaculate documentation of communications
  • Work in close collaboration with HR colleagues on verification of employment information; both Jhpiego and JHU (Bloomberg School of Public Health)
  • Manage employment verification process and letters for P-2 visa applications
  • Respond to inquiries regarding refugee visa requirements and provide guidance and support as necessary.
  • Receive and track all relevant documentation for visa applications, file all inquiries, documents, and data into a clear organization system
  • Examine applications for missing information and communicate with applicants in order to obtain required information and or documentation
  • Work closely with partner organizations (e.g. USAID, Johns Hopkins University) to submit applications
  • Communicate regularly with applicants on any new developments regarding passport, visa changes regarding third country requirements, etc.
  • Conduct ongoing research on countries accepting refugees, visa requirements, refugee status, etc.
  • Research communities in countries that assist refugees and can provide in-country support
  • Serve as a liaison to, and point of contact for, partners such as the Bloomberg School of Public Health; central university administration; JHU community service organizations; and local non-profit organizations, religious organizations, churches, mosques, mental health partners, and recreational organizations to provide services and support their successful resettlement in the United States.
  • Assist with completion of necessary pre-arrival preparations and services, in partnership with resettlement agencies and local non-profit organizations.
  • Partner with Jhpiego HR and finance leadership to oversee provision of possible stipends to evacuees at specific points in time
  • Connect client to means of ongoing support through referrals & coordinating access to other relief programs or external resources
  • Regularly report to manager on data and status of activities including number of inquiries received, P-2 application status, etc.
  • Compile information about safety and operations in Afghanistan for leadership on a monthly basis
  • Serve as liaison to JH Office of International Services and colleagues managing Scholars at Risk program
  • Other duties as assigned

Minimum qualifications (mandatory):

  • Bachelor’s degree in Education, Social Work, Communications, Human Services, or Public Health, or a similar degree
  • 5+ years' of work experience
  • Knowledge of administrative processes and approaches and financial reporting and reconciliation
  • Knowledge of USG contracts and global cooperative agreements
  • Ability to work in a complex environment with multiple tasks, short deadlines and intense pressure to perform
  • High proficiency in writing and editing letters, reports and documents
  • Very strong organizational skills
  • Strong decision-making skills and results-oriented approach
  • Aware of and sensitive to working in multiple socio-economic settings and with multi-cultural groups in a developing country environment
  • Comfortable with a team approach to programming and the ability to manage several major activities simultaneously
  • Availability to travel independently in new environments (at 30%)
  • Proficiency in MS Office

During the Influenza ("the flu") season, as a condition of employment, The Johns Hopkins Institutions require all employees who provide ongoing services to patients or work in patient care or clinical care areas to have an annual influenza vaccination or possess an approved medical or religious exception. Failure to meet this requirement may result in termination of employment.

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
