Purpose of Position
The Student Engagement Specialist provides clerical and administrative support for the Director of Student Engagement and Fraternity and Sorority Life as well as two Coordinators and one VISTA in the Office of Student Engagement. Responsibilities include: office management; assist with supervision of student employees which includes, hiring, scheduling, training the students; weekly reconciliation of 5 active department accounts; 2 revenue accounts, 2 foundation accounts and 4 credit card accounts; prepare and process all paperwork for contracts, purchase requisitions, and employment including 9 student employees; communicate and coordinate correspondence with parents, students, faculty and staff, agents, vendors and community representatives.

The person in this position must be able to manage multiple priorities and experienced in customer service. Primary Responsibilities
Manages 12 unique budgets totaling approximately $500,000 for Student Engagement, Fraternity & Sorority Life, Leadership, Registered Student Organizations and Program Funding. These include operating accounts, student fee board accounts, foundation accounts and scholarship accounts. Utilizes SAP to run monthly reports for tracking expenses and revenue. Process purchase requisitions, reimbursements, budget transfers, monthly reconciliation of 4 credit card accounts with expenses totaling approximately $40,000 a year, and all budget related procedures. Manage all travel costs for the professional staff

Create, manage and maintain a shadow budget for each Center for Student Engagement budget Run bi-weekly budget consumption reports to account for student employee salary spending. These shadow budgets will be discussed bi­ month with the Center Director

Assist all students that visit the office and educate them on the fee board process for obtaining operational, programming or travel funds. This position will work closely with the Community Connections office to set up all payments for the Center for Student Engagement. This includes but is not limited to the annual student organization renewal fee, registration for leadership retreats and conferences, programming and philanthropic events. Manage spending with any program that the Center is given to execute by the Vice President of Student Affairs.
Provides administrative and clerical support to staff members including scheduling appointments, assisting with phone calls, and coordinating travel.
General office management such as filing, copying, faxing, organization of office and storage space, ordering supplies, etc.

Supervise day-to-day operations of the Center for Student Engagement. Answers 10
telephone inquiries regarding programs, organi7.ations and general university
operations questions and provides appropriate resources as needed.

Directly supervise 1-2 student employees and oversee time for all student employees, coordinate work schedule time sheet entry, update student employee training manual, complete and maintain all personnel paperwork, coordinate training and their day to day operations for all student employees. Qualifications
High school diploma and 3 years of experience required.

Thorough understanding of SAP financial is ideal; Proficiency in Microsoft Office – Word, PowerPoint, Publisher and Excel; some experience with content management websites required.
