A.T. Still University (ATSU) is seeking an Executive Assistant for ITS. The position reports to the Vice President of Information Technology. The executive assistant provides executive administrative support and office management duties for the departments within the Information Technology Division (Institutional Research, ITS, Information Security, Network Technologies, Customer Service, Academic Technologies and Administrative Computing). The position is the primary point of contact for general (non-work-order) ITS inquiries, provides support to all ITS personnel regardless of location (i.e. at any ATSU location as well as remote employees).

Major Job Duties
  • Provide day-to-day administrative support to the Vice President of Information Technology and the managers of the ITS departments.

  • Attend meetings to take notes and distribute minutes
  • Prepare, track, and process Purchase Request information and supplies for ITS division.

  • Help create, assign and track work tickets for the ITS division

  • Assist in documenting and tracking of Annual ITS Budgets

  • Provide assistance for events supported by ITS Division

  • Schedule and maintain travel information
  • Maintain ITS calendars and portions of departmental websites

  • Plan, organize and coordinate celebration and team building activities for the division

  • Support ITS division leaders in managing personnel and annual review paperwork

  • Provide support for miscellaneous reports and data collection

  • Answering phones and handling/triaging requests for the ITS division

  • Pick up and distribute mail

  • Complete projects and special assignments by determining priorities, managing time, and following through to successful completion.

  • Ensure ITS Documentation is organized, filed effectively, and updated regularly

  • Managing Fixed Asset Documentation for the ITS division

  • Ensure the Division regularly conducts celebratory and team building activities

  • Maintaining an up to date Divisional calendar that shows schedules, vacations, out of office, and work locations of ITS employees

  • Managing and Tracking ITS compliance with annual Required Employee Education (REE)

  • Supporting and assisting coordinated activities across ITS departments and the Vice President for IT

  • Collecting, organizing, and reporting monthly activity statistics for department managers

  • Verifying personnel paperwork including payroll for Work-Study students

  • Other duties as assigned
  • This position should have knowledge of office software and internet research.
  • Strong general aptitude for using technology to facilitate workflows.
  • Specific skills using Microsoft Office and related office management applications.
  • The person in this position needs to be a calm person that can work with all types of people in stressful situations.
  • This position also must be able to handle multiple projects and deadlines.
  • The person in this position must be cheerful when interacting with both students and employees.
  • The person in this position supports several offices so he/she must be able to handle many jobs and to assist in
    support of those offices/departments.
