Basic Function:
Under the direction and supervision of the University Pastor in the Office of Campus Ministry, the incumbent performs a wide variety of complex engagement, outreach, and administrative support duties requiring considerable independence and discretion. The incumbent organizes and coordinates office activities and communications to assist the staff with assigned functional areas of responsibility.

Representative Duties:
  • Greets office visitors with warm welcome and provides appropriate direction and hospitality. E
  • Manages the calendar of the University Pastor and Campus Ministry staff with a level of detail while anticipating needs and preferences; keeps the University Pastor apprised of office activities, status of pending operational documents, and informed of appointments, priorities, and approaching deadlines through multiple channels and in a timely and efficient manner. E
  • Provides leadership for the development and implementation of Campus Ministry programs to ensure that the group needs of students are realized; partners with Campus Ministry religious staff and student leadership of religious clubs in promoting programs. Interfaces with Campus Services, Media Services, and Campus Dining in support of the programming. E
  • Coordinates with local ecumenical multi-faith religious communities locating appropriate resources, services, and support for students; acts as the point person for scheduling programs and religious services on the Thousand Oaks campus. E
  • Secures Catholic priests to provide mass and reconciliation services to support Catholic life and coordinates schedules. E
  • Promote, advertise, stock, and sustain Community Cupboard for students; interface with Campus Dining to provide meal swipes for food-insecure students; investigate and encourage partnerships with local food banks to expand the program. E
  • Coordinates travel arrangements; types itineraries, requests travel advances, compiles expense reports, and processes conference reimbursement and other requests. E
  • Composes, drafts, and edits a broad range of documents including, but not limited to, high-level reports, donor communication, instructional and protocol information, and campus communication; uses word processing equipment and inputs and retrieves data to prepare reports using an on-line or computer system. Designs and produces newsletters, brochures, flyers, and other specialized documents using desktop publishing software, other computer applications, video communications, and social media. Oversees appropriate electronic archiving of all relevant documents. E
  • Monitors and updates the department website to ensure data and information presented is up-to-date and easy to comprehend. E
  • Maintains calendar of activities, meetings, and various events for assigned staff; coordinates activities and meetings with multiple departments, the public, and outside agencies; takes minutes as assigned, supports preliminary agenda development. and provides detailed notes of staff and committee meetings. E
  • Spearheads special event planning, projects, and activities including funerals, baptisms, and religious worship services. E
  • Monitors inventories of supplies and materials; prepares purchasing and accounting forms as necessary. E
  • Operates a variety of office equipment such as computers, scanners, printers, copy machines, and other office equipment as needed. E
  • Receives and screens visitors and telephone calls, responds to complaints and requests for information on regulations, procedures, systems, and precedents relating to assigned responsibilities; takes messages or refers the caller to appropriate staff; creates, coordinates and manages communications to key internal and external stakeholders on behalf of the University Pastor.. E
  • Creates, develops, maintains, and updates specialized and custom forms, databases, logs, files, records, and reports, including confidential files while controlling the release of sensitive information. E
  • Prepares and processes various operational documents related to business operations including activities such as project management, purchasing, contracts, personnel and payroll. E
  • Manages budgets; compiles the office budget and supporting data; maintains controls on expenditure accounts, and recommends or initiates adjustments in accounts. E
  • Assists in the hiring and training of student workers; provides work guidance/direction and schedules the work activities; reviews work for accuracy. E
  • Participates in divisional efforts related to an annual university day of giving with duties including developing written and video communication about Campus Ministry and advancing the thank you strategy. E
  • Performs other administrative duties as required to support the mission and function of the department..

Minimum Qualifications:
Any combination equivalent to: A Bachelor’s degree from a recognized college or university and three years of responsible programmatic or administrative support experience of increasing variety, complexity, and responsibility.

Preferred Qualifications:
Prior experience as a coordinator of services, outreach, or engagement in a non-profit, religious, corporate, higher education or multi-staff setting.
