Department/Division Introduction

The Division of Continuing Education and Workforce Development is an exciting and entrepreneurial office within the College, which offers a wide variety of non-credit classes, courses, seminars and training sessions for the community. These offerings are focused on revitalizing careers, upgrading skills and credentials, growing businesses and pursuing pastimes and passions. Additionally, the HCCC Center for Business & Industry (CBI) is the area leader in developing and delivering educational classes and programs for Hudson County’s businesses, organizations and individuals. Position Summary/Job Description

The Division is seeking a part-time Bookkeeper/Office Assistant with a love for numbers who is proficient with accounts payable (A/P), accounts receivable (A/R), reconciliations, invoicing, and preparing reports. Reporting to the Director of Continuing Education and Workforce Development, the Bookkeeper/Office Assistant is an integral part of the Division. They work closely with members of the CEWD team, Human Resources, and the College’s Business Office to ensure that bills are paid, invoices are generated, and new hires are processed in a timely manner. The Bookkeeper/Office Assistant also works with coordinators to record program enrollment for reporting on a monthly and annual basis. Responsibilities include: 

  • Accounts Payable - coding vendor invoices and processing check requests; matching invoices with POs and packing slips; ensuring Division credit card expenses the appropriate receipts and are charged to the appropriate cost center. Research and resolve vendor invoice and payment issues. Other A/P related duties as needed.
  • Accounts Receivable - invoice clients, process incoming payments. Perform day to day A/R transactions. Resolve collection issues.
  • Reconcile Division credit card; reconcile internal chargebacks to Division cost centers.
  • Month-End Closing – Work with Business Office accountants to record and report Workforce Development revenue for month-end closing.
  • Process New Hires and Rehires - Prepare and process new hire paperwork as needed for submission to monthly Board of Trustees meeting; prepare rehire paperwork for all part-time rehires annually for submission to Board of Trustees meeting.
  • Perform other related duties as assigned

POSITION REQUIREMENTS / QUALIFICATIONS:

  • Minimum High School Diploma or equivalent
  • At least two years’ experience in bookkeeping, accounts payable, or accounts receivable
  • Proficient in MS Office - Outlook, Excel & Word.
  • Experience in a client-facing environment.
  • Excellent communication skills.
  • Excellent organizational skills with attention to detail.
  • Ability to prioritize, work quickly and use initiative.
  • Willing to learn and grow into your position.
