About the Opportunity:
Northeastern University is seeking an Assistant Director of Administration and Finance for the division of External Affairs, which includes the areas of Marketing, Communications, Experience Magazine and Government Relations. The Assistant Director's responsibilities include| Managing daily financial transactions and operations for the division, including but not limited to: processing external and internal payments; processing reimbursements; reconciling department budgets each month; and authoring expense reports. | Facilitation of monthly budget meetings with Public Art and Experience Magazine. | Managing daily contract routing and archival activity, as well as acting as deputy gatekeeper in the absence of the director. | Management and oversight of electronic filing and archival systems for contracts, invoices, reports and other documents. | Supporting the Director of Administration and Planning with division-wide HR-related tasks and various projects and tasks as needed.
The university is primarily in-person with reasonable flexibility. This position has a hybrid option.

Responsibilities:
Facilitate the day-to-day financial transactions for the division. Facilitate monthly budget meetings for Experience Magazine and Public Art. Archive all financial transactions and complete monthly budget reconciliations for each of the division's budgets. Develop and maintain accurate financial reports to be used for quarterly forecasting, and overall budget management. Review, route and archive division's contracts and supporting documents. Maintain electronic filing and archival system for contracts, invoices, reports and other documents, as appropriate. At the discretion of the director, act as deputy gatekeeper in the director's absence. Provide HR related support as directed; this includes assistance with onboarding & offboarding related tasks, performance management, employee engagement, data management, and other HR-related core team activities.

Qualifications:
Knowledge of finance, budget and administration concepts and practices. Excellent communication and interpersonal skills. A strong organizational acumen and keen attention to detail. Proven success performing a variety of tasks and prioritizing appropriately. Sound judgement and ability to make decisions independently. A calm and professional demeanor even when confronted by challenging situations. Knowledge and skills typically acquired through a bachelor's degree and at least 4-6 years of financial/budget management experience. HR generalist experience is highly desired.
