The General Administration Chairmans Office is seeking aBudget Analyst. This individual is a member of the institute’s finance team. Primary responsibilities are supporting faculty, staff and students with accounting and budgeting activities, specifically assisting the Financial Manager and Sr. Financial Analyst. This position will serve as a backup for members of the Finance Team, when necessary.

Specific Duties & Responsibilities:

Budget Administration:

  • Works with faculty and administrative staff in compiling information related to expenditures and revenue budgets, including contracts, endowments, general funds, revenues, and/or gift accounts

  • Develops all types of budgets, including general, discretionary accounts, endowments, private and federal funds. Analyzes budget patterns, projects expenditures, and prepares approved budget

  • Reviews and reconciles Ledger accounts, monitors expenditures/revenues, and gathers supporting documentation for supervisor review and approval

  • Monitors and approves expenditures throughout the budgetary period

  • Monitors, identified and communicates over-expenditures to faculty and staff

  • Investigates incorrect postings to accounts and records journal entries to correct

  • Completes monthly verification and reconciliation of expenses for divisional funds

  • Participates in the production and distribution of monthly, quarterly, and annual financial reports

  • Ensures faculty and staff are charged to correct funding source relative to salary expense coverage

  • Initiate and process transactions with SAP modules (e.g, AP, Supply Chain, Finance, Sponsored and BW), including accounting documents/transactions (non-payroll transfers, shopping carts vendor invoices and check requests

  • Process travel reimbursements for faculty, staff, and students

  • Interpret and ensure compliance with all University and sponsoring agencies’ policies and procedures when reviewing financial status reports

  • Ability to exercise mature judgment, sensitivity, and diplomacy when dealing with confidential material and relating to all internal/external clients

  • Dependability to analyze and carryout projects in a skillful and timely manner in a very deadline oriented work environment. Other duties as assigned

Financial Reporting:

  • Develops and maintains accurate spreadsheets of departmental staff and faculty names, salaries, titles, funding source, etcetera for use by the division’s financial staff

  • Locates, and compiles information and formats reports, graphs, tables, records and other sources of information

  • Develops ad hoc reports as requested by Finance Manager or Sr. Financial Analyst

  • Prepares and processes online check requests, travel reimbursements, employee reimbursements and purchase orders

Transaction Processing:

  • Ensures all expenses are allowable and allocable by paying certain invoices

  • Initiate SAP transactions within modules AP, Supply Chain, Finance, Sponsored, and BW

  • Communicate with appropriate internal and external administrative offices to ensure established procedures are followed. Provide

  • Works in formal and informal forums with departmental personnel in issues related to grant administration and financial management

  • Applies working knowledge of applicable laws and regulations; verify documents for completeness and compliance with government federal agencies

Minimum Qualifications (Mandatory):

  • Bachelor’s Degree in Finance, Accounting or another related field
  • One (1) year of related progressively responsible experience
  • Additional experience may substitute for some education and some additional education may substitute for experience, to the extent permitted by the JHU equivalency formula

*JHU Equivalency Formula:  30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience.  Additional related experience may substitute for the required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.

Special Knowledge, Skills & Abilities:

  • Intermediate knowledge of office software, including Microsoft Word, Access, Excel, PowerPoint, Photo Editor, Print Shop, Front Page, Access and Adobe Acrobat

Physical Requirements:

  • Ability to stand, walk or sit for an extended periods of time
  • Finger Dexterity required to manipulate objects with fingers rather than with whole had(s) or arm(s), for example, using a keyboard
  • Ability to see within normal parameters

  • Ability to lift 15 pounds
