Job Summary:This position will provide analytical and coordination support for financial and capital planning and tracking major project budgets in Facilities Services. Duties include: supporting budgets and cash flow for strategic major capital projects, tracking capital spending and reporting, tracking work-order activity and analyses for vandalism, and documenting physical assets including space, equipment, vehicles, and furniture. Work involves frequent exercise of independent judgment and initiative as well as attention to detail and accuracy. Frequent verbal and written communication is required within the College and with outside individuals and agencies. ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:
  • Support budget and cash flow monitoring for major capital projects
  • Track overall capital activity and reporting, prepare reports as needed
  • Develop and track all capital spending including spending by category and asset classification, project completion level, and actual to budget expenditures
  • Assist with developing ten-year capital project plans
  • Analyze work order activity, as well as other analyses for off-campus property spending, vandalism, and other activity as needed
  • Respond to inquiries from capital project team regarding expenses
  • Work with capital project team to implement sustainable practices
  • Maintain documentation and tracking for assigning maintenance and replacement of physical assets, including space, equipment, vehicles and furniture
  • Develop and maintain positive relationships with colleagues; serve as a trusted, go-to source
  • Operate computer and software applications as needed for duties
  • Maintain high level of confidentiality on projects and expenses
  • Perform additional duties as assigned; duties, responsibilities, and activities may change at any time with or without notice
QUALIFICATIONS:
  • Bachelor’s degree or the equivalent in education and experience
  • Three or more years of experience with financial and data analyses and proficiency with Microsoft Excel and similar software
  • Experience with budget management in building trades preferred
  • Excellent interpersonal, communication, and organizational skills with a high level of motivation
  • Attention to detail and accuracy are critical
  • Experience working with confidential information and the ability to maintain confidentiality is mandatory
  • Must be able to work independently, exercise judgment, manage projects with minimal supervision and, adjust as new projects are assigned
  • Strong analytical skills including the ability to extract, analyze, and adjust data within multiple computerized systems
  • Strong ability to multi-task is essential
  • Highly developed computer skills including extensive experience using Microsoft Office Suite, email and web applications, as well as an interest in and ability to learn new programs
  • Ability to make an impact through work as a member of a team and diverse community
  • Valid driver’s license required and must meet the College’s Fleet Safety Policy requirements
KEY RELATIONSHIPS:

This position has significant interaction with faculty, staff, peers, outside constituencies including the design team, contractors and consultants, and Facilities Services. The position reports to the director of business and administrative services and works closely with the director for project management and construction and the AVP for facilities and campus planning.

WORKING CONDITIONS/PHYSICAL REQUIREMENTS :

General open office and campus environment. Position involves sitting, although frequent movement is necessary. Occasional lifting is required. Computer usage involving repetitive hand/wrist motion is also necessary.
