About the Position

The Human Resource Leave Specialist supports the College's efforts to attract and retain employees by providing services and support in leave administration. This position is responsible for overseeing and administering leave requests and accommodations requiring specialized attention, particularly those arising under the Family and Medical Leave Act (FMLA), Oregon Family Leave Act (OFLA), the Americans with Disabilities Act (ADA), state and local leave laws, and short-term or long-term disability plans. This position is also responsible for implementing and developing new employee orientation.

What You'll Do
  • Communicate with employees regarding their needs for leave and/or modified work schedules. Ensure that employees are aware of their responsibilities and of any documentation and notice required to qualify for and to take leave.

  • Handle the FMLA/OFLA leave administration process from the employee’s initial notice of the need for leave to the return to work. This includes gathering and completing all required paperwork, determining leave eligibility, designating leave as FMLA/OFLA-qualifying, requesting medical certification as needed, and accounting for intermittent and reduced schedule leave use.

  • Maintain reasonable communication with employees on leave to facilitate smooth and timely return to work; relay communication between employees and their managers during leave within reason.

  • Advise managers and employees on the interaction of leave laws with paid time off, workers’ compensation, and short-term and long-term disability benefits.

  • Oversee the return-to-work process for employees returning from extended FMLA, OFLA, workers’ compensation, or other leave(s).

  • Facilitate other leave requests, which may include accommodation requests under the ADA.

  • Administer other company time-off programs as assigned in accordance with internal policy and applicable laws.

  • Maintain complete and accurate records of leave and accommodation requests in accordance with specified legal requirements and documentation of best practices.

  • Preserve confidentiality of employee medical documentation and files.

  • Maintain knowledge of all applicable leave and accommodation laws including the FMLA, ADA, and state and local laws.

  • Develop and implement new employee orientation.

  • Perform other duties as assigned.

Must Haves
  • Bachelor's degree in Human Resources or related field.

  • 2 years experience in similar leave administration.

  • Extensive knowledge of the leave requirements and other legal protections afforded by the FMLA, OFLA, ADA, and other applicable laws.

  • PHR, SHRM-CP certification or equivalent, or ability to acquire within one (1) year of employment.

  • Ability to prioritize workload, multi-task and work under pressure in a fast-paced environment.

  • Exceptional organizational skills and attention to detail.

  • Ability to understand, interpret, develop and communicate policies and procedures.

  • Ability to establish and maintain effective working relationships and strong customer service.

Nice to Haves
  • 4 years experience in similar leave administration position.

  • SPHR, SHRM-SCP, CEBS certification.

  • Experience working in higher education.

Physical Requirements
  • Prolonged periods of sitting at a desk and working on a computer.

  • Must be able to lift 15 pounds at times.

  • Must be able to access and navigate each department at the organization’s facilities.

Work Schedule
  • Benefit Eligible: Yes

  • 20 hours per week/7.5 hours per day

Pay Rate
  • $29.00 - 30.75/hour

  • Commensurate with experience/qualifications

Eligibility to Work

Failure to have a completed I-9 form on file with the College will result in immediate termination of employment.
