Suffolk University is pleased to announce a career opportunity as a Sawyer Business School Undergraduate Programs Coordinator! The SBS Undergraduate Programs Coordinators report to the Director of Undergraduate Programs, SBS Deans Office. Coordinators work directly with academic departments as well as with the SBS Deans Office to support all academic and related co-curricular activities that relate to SBS undergraduate students.

Coordinators:

    Start the workday (i.e., be at their 12th floor workstation) at 8:45 am and finish the workday at 4:45 pm. Professional dress and demeanor is expected of all staff and students working in the SBS Deans Office. Attend events, face-to-face and/or virtual, as required (occasional nights and weekends) Attend bi-weekly meetings with the Director of Undergraduate Programs and/or the Directors designee(s) Attend weekly Undergraduate Programs Team meetings Will have professional development opportunities that meet their needs and interests.
In consultation with the Director of UG Programs, coordinators will prioritize responsibilities for their assigned academic department(s). This includes, but not limited to:

    Undergraduate Course Scheduling Advising
      Coordinate training for faculty with the Undergraduate Academic Advising Center Assign faculty advisors to students and keep assignments updated Work with Department Chair(s) and Director of Undergraduate Programs to create, update, distribute, and monitor Qualtrics Registration surveys Coordinate and plan with Department Chair(s) group advising events, face-to-face and virtual.
    Event Planning and Programming (face-to-face and virtual)
      Coordinate all logistical arrangements (room reservations, catering orders, etc.) Event planning does not include student organizations. Communications
        Website and Catalogue Updates Promotional materials for Open House and Showcase events
      Answer phones for assigned academic departments Provide details of department events to be included in the bi-weekly BSB Bottomline Newsletter
    Other tasks and responsibilities as needed
Working directly with the Director of UG Programs, coordinators will support SBS UG Programs. This includes, but not limited to:

    Summer Programming Honors Programming
      SBS and Discipline specific (i.e., MKT, ACCT, FIN)
    Orientation Programming Support UG Programs Retention Initiatives and Programming Support new UG initiatives as needed Creating Reports for Academic Departments and UG Programs
      Generating Data - using Colleague, Informer, Qualtrics, Excel etc. Creating Visuals using Excel, PPT, etc.
    Scheduling for SBS courses
      CareerLinks SBS101 INTO
    Monitoring email and social media for UG Programs Collect and maintain syllabi on shared drive every semester. Working with non-academic offices, for example:
      Admissions, INTO, Diversity, Access, and Inclusion, CLAS, CCE, CEPD (Career Education and Professional Development) Administrative support (e.g., preparing documents, sending emails, taking minutes) for UG Programs Committees, as needed, for example:
        UPCC Academic Standing Committee Curriculum Revision Task Force Other committees as assigned Coverage of SBS Deans Office Front Desk, as needed. Other duties as assigned
