The Program Administrator plans, coordinates, and manages all administrative, financial, and operational aspects of the TDI PhD graduate program, including management of the recruitment, selection, enrollment, and onboarding processes for new graduate students, and supporting, monitoring, and assessing the academic experience and progress of students enrolled in the PhD program at The Dartmouth Institute for Health Policy and Practice. Description Required Qualifications - Education and Yrs Exp Bachelors plus 6 or more years' experience or combination of education and experience Required Qualifications - Skills, Knowledge and Abilities
  • 5 years of relevant experience in education or graduate program administration
  • Knowledge of educational programming, graduate student affairs, and/or project management
  • Excellent oral/written communication and interpersonal skills as well as confidence and clarity in public speaking.
  • Ability to work independently and as part of team, remains calm under pressure, and responds positively to change
  • Able to build strong relationships within TDI, Geisel School of Medicine, the Guarini School of Graduate & Advanced Studies and other Dartmouth schools, and with partner institutions, including colleagues at other colleges and universities, recruiters, and corporate sponsors.
  • Effective decision-making skills based on analysis, experience, and judgment.
  • Ability to maintain confidentiality on various sensitive information and materials.
  • Strong project management, organizational, and analytical skills.
  • Commitment to support, contribute to and strengthen a vibrant, culturally diverse, and inclusive learning community of students, alumni, faculty and fellow professionals.
  • Proficiency with MS Office software including Word, Excel, and PowerPoint
Preferred Qualifications
  • Master’s degree (Master degree in Public Health, Public Policy, Business Administration, or Education preferred) and/or a demonstrated understanding of public health systems and careers.
  • Proficient in using CRM applications and other technology resources (e.g., Slate, Handshake) to achieve goals.
  • Optimism, high energy, and a sense of humor are valuable assets.
  • Able to proactively identify and pursue relevant learning and professional development opportunities and apply new knowledge, insights, and skills to enhance results.

Key Accountabilities

Description
Serves as the primary liaison facilitating interactions between the Director and program trainees, applicants to the program, faculty, other administrators, program alumni, and donors. Percentage Of Time 10% Description
Serves as primary resource for information on program policies and procedures for applicants, students, faculty, and others engaged with the PhD program. Percentage Of Time 10% Description
Manages recruiting and admissions activities for PhD program. This includes managing the application system, pre-screening applicants, providing logistical support for admissions committee, updating promotional materials, and communicating with prospects. Percentage Of Time 20% Description
Oversees process of welcoming incoming students and manages the onboarding process. Answers student questions about program and community and plans and executes new student events. Percentage Of Time 10% Description
Monitors student progress in meeting program requirements and advises students on questions related to course selection, scheduling, and upcoming deadlines. Monitors course evaluations and provides feedback to Director as appropriate. Percentage Of Time 20% Description
Supports the TDI PhD Program advisory committee by providing administrative support and by advising how proposed PhD curricular changes may impact student course load, degree requirements, and whether they require graduate council approval; and by advising on proposed changes to the PhD handbooks and implementing and communicating changes in the handbook to the PhD program community. In partnership with the Director and the Executive Director for TDI Education Programs, establishes annual operating budget requests and monitors performance to budget, and the initiation of remediation activities, when necessary. Percentage Of Time 4% Description
Other responsibilities:
  • Supports TDI PhD courses by providing technical support, troubleshooting, and answering general inquiries by TDI instructors and students related to Banner, Canvas, and course registration
  • Supports and manages programming and activities related to extramurally funded training grant opportunities.
  • Updates and manages the TDI handbook containing program rules and regulations
  • Coordinates student stipend and health insurance processing with TDI finance.
  • Supports PhD program communications efforts, including website maintenance and other internal and external program communications.
