The Office of the Provost seeks an Office Assistant to provide specific administrative support for the Associate Provost for Transformative Teaching & Learning and the Associate Provost for Research & Creative Inquiry. In addition, this role is the first contact for visitors to the office and will provide support to other staff and areas within the Provost's Office such as undergraduate fellowship and research and summer sessions. This is a full-time, non-exempt, benefits eligible position that is typically scheduled to work 35 hours per week.
Job Duties:
● Provides administrative and clerical support to the Associate Provost for Transformative Teaching & Learning, Interim Associate Provost for Research & Creative Inquiry, and other Provost Office staff as needed, including but not limited to: receiving and distributing communications; filing and handling highly sensitive and confidential materials; making meeting and travel arrangements; data entry; budget management and credit card reconciliation.
● Provides administrative and clerical support to the Director of Undergraduate Fellowships and Research, including the Program for Undergraduate Research, Emerging Scholars, and scholarship nominations.
● Provides administrative and clerical support to Summer Session.
● Provides support to shared governance committees such as the Faculty Development Co, the FAPC, the University Lectureship, and the Subvention Committees.
● Manages calendars including prioritizing requests for appointments, weekly and bi-weekly meetings with direct reports, special meetings requested, and meetings requested by other administrative or academic offices
● Makes travel arrangements with attention to cost savings, time efficiency and individual travel needs and preferences. Prepares monthly travel credit card reconciliation forms.
● Coordinates the logistics related to special projects, programs, and ceremonies.
● Coordinates on-campus visits including, but not limited to, dinners, meetings, lectures, workshops.
● Manages course release identification, which includes the collection and tracking of related information.
● Provides assistance to and works collaboratively with faculty, staff, students and guests of the university.
● Screens and prioritizes incoming telephone calls, refers calls as needed, arranges call-backs as needed
● Responds to faculty, staff, student, and external requests for departmental, college, or university information in consultation with the other staff.
● Drafts correspondence as requested.
● Assists with maintaining and updating the Office of the Provost website.
● Maintains databases and compiles reports, utilizing e-mail, calendar scheduling software, university enterprise system, and basic computer software such as Word, Excel, and Access.
● Maintains a high degree of confidentiality in communications and office work.
● Performs additional duties as assigned.
Minimum Qualifications:
- A minimum of 3 years of related experience in an administrative
office, preferably in higher education
- A high school diploma or equivalent
- Demonstrated ability to interact effectively with students,
faculty and staff members
- Demonstrated commitment to diversity, equity, and

- Strong prioritizing/organizing skills, attention to detail,
dedication to continually improve technical skills and knowledge,
and the ability to perform many tasks simultaneously in a highly
dynamic workplace, even under conditions of frequent
interruption.
- Demonstrated capability for initiative, good judgment,
discretion, and confidentiality
- Proficiency in using a computer and proficient skills and
experience with word processing, spreadsheets, database, scheduling
software and e-mail.
Preferred Qualifications: - A Bachelor's degree
- Experience working in higher education
Physical Demands: - Sedentary work involves sitting most of the time, but may
involve walking or standing for brief periods of time.
- Occasionally lifting up to 25 pounds.
