Under general supervision is responsible for all aspects of student registration, counseling and advisement for all law school students. Maintains all student academic records and information, and serves as point of contact between the Law School and the University’s Registrar’s office; and for law school students on all matters related to student services.

Essential Duties Summary

• Coordinates the registration process for all registration sessions. Facilitates online registration along with processing all drop and add/override and approval required courses. Registers all first- year law students in courses for Fall and Spring semesters.
• Enters all class schedule data and updates in Banner. Provides faculty with class rosters and course enrollment data.
• Prepares bar certifications for current student and graduates, for in-state and out-of-state bar takers. Prepares character and fitness reports for Dean’s signature and electronic submission. Processes temporary bar card requests.
• Coordinates exam number system, decodes exam numbers, prepares exam decoding reports to professors.
• Inputs all law school final grades for professors in Banner. Processes all approved grade changes
• Processes and enters applications for graduation in Banner. Confers degrees for both J.D. and LLM candidates and mails diplomas to graduates after degree conferral. Prepares Graduate Status Report for Dean, Academic Support, and Career Services.
• At the end of each semester, prepares information to mail each student regarding their quartile ranking related to bar passage. Prepares Student Section Information for the ABA Annual Questionnaire. Maintains quartile letter file for all law students. Contacts students and updates addresses of all returned quartile letters.
• Prepares electronic files for the end of term comprehensive exams; inputs professors’ grades and comprehensive grades in a file to send to the designated psychometrical personnel.
• Verifies attendance and degree verification by phone, mail, and email. Prepares letters of JD awarded and verifications of enrollment.
• Prepares and maintains Law School Academic Calendar.
• Assists with 1L Orientation, 2L Re-Orientation, and 3L Re-Orientation.
• Assists with Hooding and Commencement Ceremonies.
• Maintains student files: transcripts, letters, awards. Processes file copy transcripts for all law students.
• Assists the Department in developing and implementing systems to maintain student academic records; coordinates storage, security, accuracy, and preservation of academic credentials in accordance with university policy, accreditation standards, and privacy laws
• Prepares and mails academic dismissal letters as well as input and update information into Banner electronic system to maintain student academic records and apply perspective academic holds.
• Performs other job-related duties as assigned.

Hiring Range $63,840.00 - $79,801.00 Education

Bachelor’s degree (B.A. or B.S.) or higher. Advanced degree preferred.

Knowledge of:
• Federal, State, Local, and County laws.
• Requires full/complete knowledge in multiple disciplines and serves as an ultimate subject matter expert in at least one discipline or function. Demonstrates full command of technical and functional principles, procedures, and subject matter in multiple disciplines to handle any situation and lead or train others. Requires the ability to lead the development or modification of work procedures across multiple disciplines.

Work Experience

Three (3) to five (5) years of directly-related job experience in higher education/student services, preferably in registration.

Working/Environmental Conditions

Routine office environment.
Sitting or standing in one location much of the time.
Some stooping, lifting or carrying objects light weight may be required.
Use of video display terminal.
