Job Description:

The Administrative Assistant position is a full-time career service position. The Administrative Assistant provides administrative support to the Department Student Resource Center for ADA Services staff, faculty, and students under the supervision of the Department’s Director. The Administrative Assistant creates, manages, and executes budget expenditures upon approval by the department director; processes payroll and personnel documents; maintains, records, and processes departmental and college-related forms and reports; develops and maintains office files and correspondence; monitors, orders, and processes requisitions for department materials and supplies; operates office equipment; schedules appointments and meetings; and assists with preparation of the annual budget. Additionally, the Administrative Assistant works effectively in a diverse community and meets the needs of diverse student populations; handles a large volume of functions and activities; follows simple and complex written and verbal instructions; and performs other duties as assigned. Assists in developing brochures, instructional materials, programs and other printed materials as required; orders and renews departmental subscriptions and publications. The successful candidate must possess the ability to work efficiently with minimal supervision and exercise discretion concerning confidential matters. Attention to detail and computer proficiency (spreadsheet management, electronic correspondence, and word processing skills) are essential for success in this position. The position may require availability to work flexible hours, including some evenings. This position reports to Director, Student Resource Center for ADA Services.

MINIMUM QUALIFICATIONS: Graduation from high school or GED equivalency, two years administrative assistance experience, and demonstrated computer skills, including proficiency with Microsoft Office Suite (including Word, Excel, Publisher, Outlook, etc.) in a networked office setting, and internet navigation. College course work may be substituted on a year for year basis for the required experience. * Successful results of a criminal background check are required.

*Per F.S. 295.065 – Certain servicemembers and veterans, and the spouses and family members of such servicemembers and veterans, will receive preference and priority, and certain servicemembers may be eligible to receive waivers for postsecondary educational requirements.

Pursuant to College policy, it is an employment eligibility requirement for an applicant to meet the requirements of § 435.04(2), Florida Statutes, related to background investigations. Any person failing to meet the requirements of the statute will be deemed not qualified to hold employment in this position. A Florida Department of Law Enforcement (FDLE) approved background check will be conducted on every successful candidate as a condition of employment, and any person who fails to disclose any adverse information contained in the background investigation at the time of submitting the employment application will be disqualified from employment.

PREFERRED QUALIFICATIONS: Prefer an AS or AA degree; experience working in a high traffic area; demonstrated customer service skills; experience using an automated system to process payroll, purchasing, and accounting documents; demonstrated ability to maintain extensive recordkeeping documentation; experience managing and maintaining budget documents and social media sites; and demonstrated ability to effectively manage multiple tasks.

ANNUAL SALARY: $24,150.00 (12.39/hour)
