Position Summary

This position reports directly to the Head of Special Collections and University Archives. The department acquires new library materials, works of art on paper, and manuscript and archival collections in analog and born-digital formats. This position is responsible for maintaining the SCUA Reading Room desk and reference services. Works at the public service desk and assists with reference inquires and ILL requests. Assists with all patron requests for digital materials and contributes to department digital projects. May processes and organize manuscript and archival collections through all stages, from accessioning, arrangement, and description to cataloging. Assists with book and print collections. Collaborates with SCUA staff to plan the goals and priorities for collection processing and digital projects. Provides training to students in library reference functions and in arrangement and description. Oversees stacks maintenance and supply ordering. Shares responsibility for the maintenance and location information for cataloging records. May create finding aids in ArchivesSpace and export these to the Online Archive of California. Assists with the creation and installation of exhibits.

FLSA:Non-Exempt

CSU Classification Salary Range: $3,528 - $6,525 per month

Hiring Range: $3,528 - $4,300 per month

Time Base: Full-Time

Pay Plan: 12 months

Work Hours: 40 hours per week. Schedule to be determined at time of hire.

Department Information

As the center of campus intellectual discovery, the Sacramento State University Library promotes teaching, learning, research, and scholarly communication at the University by integrating the Library with campus student success programs and instruction. One of twenty-three libraries in the California State University System, the Sacramento State Library holds over 1.4 million volumes, comprised of print and electronic monographs and serials, and is a Federal Document Depository. The Library's mission is to inspire excellence in teaching, learning, and scholarly activities.

Minimum Qualifications

ENTRY QUALIFICATIONS:
In addition to Position Skill Level II requirements, work at this skill level typically requires the following range of skills:
  • Thorough knowledge of and ability to interpret overall library policies and procedures and an in-depth knowledge of library operations, policies and procedures pertaining to assigned functional area, including a solid understanding of individual work functions and the ability to adapt work procedures.
  • Working knowledge of library collection and its organization, as well as classification schemes. Demonstrated expertise in creating and correcting bibliographic records.
  • Thorough knowledge of external on-line databases, system and resources, including the ability to perform complex on-line searches.
  • Thorough knowledge of institution and library's policies and practices associated with the ethical use of and access to library and on-line resources.
  • Working knowledge of national standards pertaining to library operations, including a thorough knowledge of institutional standards pertaining to copyright and intellectual property protection and the ability to interpret and apply them, as well as explain them to patrons, to ensure compliance.
  • Demonstrated expertise in using library automated system(s), especially subsystem(s) pertaining to the functional area, including database maintenance.
  • Ability to investigate and research more complex problems, including analyzing and interpreting information.
  • Working knowledge of library accounting and budget procedures and allocation processes, and ability to apply this knowledge to assist in handling vendor accounts and the budget process.
  • Strong written and verbal communication skills to be able to prepare internal library reports and written and visual presentations on library resources and present them to library patrons, including students.
  • Strong communication and interpretive skills to be able to interview patrons regarding their information needs and guide them in the use of more complex library and on-line resources.
  • Thorough knowledge of all aspects of lead work direction including assisting in employee selection, training employees in new work procedures, assigning work, organizing work flow and establishing priorities, reviewing work, providing input to performance evaluations and promoting teamwork to optimize effectiveness. Working knowledge of campus human resource practices and payroll procedures.
  • Strong organizational skills to oversee and lead work flow in assigned area.

    EDUCATION/EXPERIENCE
    These qualifications for entry normally would be obtained through the completion of a high school education or equivalent certification plus two to three years of related library and/or clerical experience or an equivalent combination of experience and education.

    Required Qualifications

    EXPERIENCE
    1. Two to three years of related library and/or clerical experience.
    2. Experience using library systems and/or complex databases.
    3. Experience in public service and customer service functions
    4. Experience in accessioning and processing manuscript and/or archival collections.
    5. Experience with drafting documentation of procedures and providing training to others.
    6. Experience in designing and mounting exhibitions.

    KNOWLEDGE / SKILLS / ABILITIES
    7. Proficiency with standard office software packages and systems (e.g. Microsoft Excel, Office 365) and the Internet.
    8. Knowledge of Archivists Toolkit, ArchivesSpace, or other archival data management system.
    9. Demonstrated knowledge of DACS, MARC, and EAD encoding.
    10. Knowledge of metadata standards (MARC, Dublin Core, MARCXML).
    11. Knowledge of digital reproduction of photographs and other documents.
    12. Ability to investigate and research complex problems, including analyzing and interpreting information.
    13. Knowledge of stacks maintenance and supply ordering.
    14. Strong communication skills.
    15. Demonstrated ability to train, supervise, and manage student employees, interns, and volunteers.
    16. Strong interpersonal skills to work effectively with others in a team environment.
    17. Strong organizational and detail-oriented skills with the ability to meet deadlines and ensure regular workflows.
    18. Demonstrated strong commitment to diversity, equity, and inclusion in higher education.

    CONDITIONS OF EMPLOYMENT:

    PHYSICAL REQUIREMENTS:
    19. Ability to frequently move (e.g. lift, carry) library materials up to 40 lbs.

    Preferred Qualifications

    20. Proficiency in the use of the library management system Alma, including Analytics, and of Primo, the Library's discovery tool.
    21. Society of American Archivists awards or certificates.
    22. Experience with XML editing tools and born-digital formats.
    23. Experience in stacks management.
    24. Experience in digital collections processing, data migration, and/or digital curation.
    25. Knowledge of appraisal of manuscript and archival collections.
    26. Bibliographic and/or reading knowledge of foreign languages.
    27. Experience in creating and maintaining collection and donor files.
    28. Experience in taking meeting minutes and doing student scheduling.
    29. Experience collecting statistics.
    30. Experience in ordering supplies.
