Haverford College invites applications to our available full time, exempt, benefit eligible Executive Assistant to the Chief Diversity Office position in the Office of Institutional Diversity, Equity and Access (IDEA).

The Executive Assistant will manage the calendar of the [Interim] Chief Diversity Officer, and schedule meetings and appointments with students, staff, faculty, the President, alumni, Board members, and external partners. The Executive Assistant will also: serve as the [Interim] Chief Diversity Officer's primary point of contact for many internal and external constituents; interact on a regular basis with individuals and departments across the campus community, including the President, Provost, and other members of the President's Senior Staff; and will administer all operating budgets and gifts under IDEA management. They will also be responsible for event planning and programmatic support for a range of IDEA-sponsored or co-sponsored events, programs, and projects.

Essential Functions & Primary Responsibilities:
  • Provide high-level support for the [Interim] Chief Diversity Officer, including scheduling in-person and virtual meetings, gathering information from campus partners, and preparing confidential reports.
  • Represent the IDEA Office while interacting on a regular basis with community members, members of the Board of Managers, and the College's alumni, parents, and friends.
  • Handle all plans and logistics for IDEA events. Draft messages, advertisements, and other communications in support of IDEA initiatives.
  • Track and reconcile all contracts, allocations, and expenses for IDEA. Collaborate with the Controller's Office for budget-related inquiries.
  • Coordinate and take minutes for any committees, working groups, or task forces led by the [Interim] Chief Diversity Officer.
  • Prepare agendas, reports, and other materials for the Diversity, Equity, Inclusion, and Antiracism Committee of the Board of Managers, and take minutes at all such committee meetings.
  • In partnership with campus colleagues, provide programmatic support for IDEA initiatives and projects
  • Work closely with colleagues in Institutional Research to prepare regular reports and response to ad hoc data inquiries
  • Provide personnel support to the CDO and track hires, offers of appointment, and related orientation/personnel needs. Serve as a resource person for searches, working closely with search committees and Human Resources.
Line of Report: The Executive Assistant to the [Interim] Chief Diversity Officer reports to the [Interim] Chief Diversity Officer.

Education, Training, & Experience (Required):
  • Bachelor's degree
  • Five or more years of progressively responsible and relevant experience in a professional environment, preferably in an educational or other non-profit institution
  • Demonstrated understanding of the importance of diversity, equity, inclusion, and antiracism, particularly as applied within the context of higher education
  • Advanced skills in Microsoft Office Suite and the Google Apps suite. Proficiency preferred with Adobe suite, Qualtrics, and Workday.
  • Excellent interpersonal communication with the ability to work well with all ranges of faculty, staff, students, alumni and external individuals
  • Experience organizing and planning events
  • Ability to write clearly and thoughtfully, with particular sensitivity to the needs and particularities of various audiences
  • Should be able to work evenings and weekends, when needed
