Position Summary: Provide 12-month administrative support to the chair and faculty of the Department of Music. Assist chair with management of department budget; track department expenditures; initiate purchase orders, process invoices, and assist faculty with travel/expense reports. Assist with the faculty hiring process; initiate PAFs, e-PAFs, and manage other confidential materials. Assist in the hiring and supervision of student workers. Provide personal, e-mail and telephone reception to a wide constituency as needed. Ensure the department operates efficiently and smoothly and that administrative assistants work collaboratively as needed on tasks at hand. Minimum Qualifications: High School diploma or equivalent.
At least 3 years of full-time administrative support experience in a professional office environment
Excellent written communication skills
Demonstrated proficiency with Microsoft Office software (especially Excel and Word) as used for preparing forms and maintaining correspondence, University reports, and special projects.
Experience managing and reconciling budgets and analyzing financial data.
Demonstrated ability to work independently with little to no supervision.
Demonstrated ability to work effectively and collaboratively as a cooperative member of a professional office.
Demonstrated ability to plan and organize work in observance of deadlines
Articulated ability to manage multiple priorities.
Demonstrated ability to protect and maintain confidentiality of information.
Demonstrated ability to work within established procedures and guidelines.
Demonstrated ability to learn and apply new information and systems. Preferred Qualifications: Ability to engage effectively, respectfully, and professionally with multiple constituents at all levels in an organization, such as faculty members, staff, administration, prospective students and their families, and visiting artists.
Experience working in a college or university academic office.
Experience supervising and delegating work to others in a professional environment.
Capacity to adapt to changes in a work environment.
Effective interpersonal communication skills.
Excellent oral communication skills
Familiarity with University of Dayton academic structures, procedures, and policies.
Experience with Google Suite (Gmail, Google Calendar, Google Drive)
Experience with Banner self-service (or similar ERP system for PAFs).
Experience with Cognos IT reports.
Knowledge of music helpful, but not required.
