The College

The Corporation of Haverford College was founded in 1833 by the Religious Society of Friends (Quakers) and is dedicated to the co-creation of a more inclusive, equitable, diverse and just community for all of its members. Haverford is exclusively an undergraduate institution and is nearly entirely residential. Haverford's beautiful (arboretum) campus includes more than 200 acres in Delaware and Montgomery counties in Pennsylvania with 1.7 million square feet across 50 buildings. The campus sits ten miles west of center city Philadelphia.

Haverford offers a rigorous liberal arts curriculum to 1,435 students of which 98% live on-campus, excluding students studying abroad. The student to faculty ratio is 9:1 and 44% of students receive a College grant. Haverford College has more than 600 full-time equivalent employees. As of June 30, 2021, Haverford's total assets were $893.6 million. For FY 2020-21, the College operated with a balanced budget, on a full-accrual GAAP basis. Haverford College has public debt ratings of “AA-“ from Standard & Poor's and “AA-“ from Fitch Ratings, each with a “stable” outlook. The Position

The Director of Budget and Planning (the “Director”) reports to the College's Senior Vice President for Administration and Finance, Treasurer. The Director will work closely with the senior leadership of the College and the Board of Managers as well as with departmental managers and colleagues across the institution. The College's annual operating and capital budgets are designed and intended to be the financial manifestation of the College's mission and its strategic priorities.

A principal role of the Director, in concert with the Senior Vice President among others, is to help develop and coordinate the alignment of the annual operating and capital budgets with the College's educational mission. To this end, the Director should lead a budgeting process helping to confirm the availability and sufficiency of resources to also achieve the College's goals regarding its diversity, equity, inclusion and antiracism work. The Director, in this leadership financial administrative role, would be expected to be a key proponent of this work and fluent in best practices for budgeting support of Haverford's diversity, equity and inclusion goals. The Director will be a data-informed professional that works proactively to prudently support the collaborative goals of the College.

The Director will review, prepare and have access to confidential, sensitive and proprietary data and therefore will display exceptional discretion when working with this information.

The Relevant Organizational Structure

The Office of Budget and Planning is a discrete department within the Administration and Finance Division of the College and, as mentioned, the Director reports to Haverford's Senior Vice President for Administration and Finance. The Senior Vice President serves as Haverford's chief administrative and chief financial officer. The Director oversees a small, highly skilled team that manages the College's budgeting and planning activities as well as compliance, risk management, insurance, and financial program analysis. As the manager of the Office, the Director should be a team leader and mentor for colleagues in the office and otherwise.

The Primary Charge

The Director of Budget and Planning is responsible for the budget and planning process, including but not limited to the preparation, administration, data and financial analysis and maintenance of the College's budget throughout all stages. The Director will be involved in recommending and implementing approved policies, procedures, tools, models and systems to help coordinate, plan, and report on the budget and planning activities of the College.

The Director is responsible for 1) the implementation and oversight of an efficient and effective annual budget and planning process including working with many colleagues across the College related to their budget submissions, 2) performing high quality quarterly (and periodic) budget and variance reports, 3) performing long-term modelling and sensitivity analyses, 4) communicating financial information and insights to department and divisional leaders and providing valuable guidance thereto, and 5) working in close coordination with College leadership and Human Resources, managing the College's position control functions.

The Typical Functions and Activities:

In addition to the principal charges referenced above, the items below may be typical functions and activities undertaken or overseen by the Director:
  • Communicate frequently with senior staff members and departmental managers in support of budgeting questions and alignment of financial resources
  • Strengthen the College's budgeting and financial planning and support strategic decision-making by developing a comprehensive understanding of the financial complexities and competing needs of the organization, and developing useful and robust analyses and long-term financial models to inform discussions of critical issues.
  • Work closely with the Director of Human Resources to ensure budget alignment and support for workforce recruitment and development.
  • Perform financial analyses in key operating revenue and expense areas to identify key drivers, trends, benchmarks, risks and opportunities, and recommends appropriate actions.
  • Develop and present financial reports, metrics and analyses to increase understanding and improve decision-making.
  • Develop and lead an operating and capital budget process that is holistic and transparent to meet the current and future needs of Haverford College. Work with senior leaders to provide budgetary and analytic support to optimize the deployment of resources. Proactively works with department leaders to improve financial outcomes.
  • Work closely with the Provost's office to support development and management of the budget for the academic program, including faculty staffing, departmental budgets, and support for institutes and centers. Provides support to the Provost's office in determining optimal funding sources for academic program priorities and maximizing the use of endowed funds.
  • Lead efforts by identifying and engaging with division, department and program leaders to implement changes in processes and systems to improve service and cost effectiveness in support of Haverford's programs and mission.
  • Coordinate the development and outreach of the annual operating and capital budgets.
  • Perform financial modeling and financial analysis, ensuring consistent integration of key budgetary and financial information to support institutional goals.
  • Develop and maintain the Workday Adaptive Planning Model, which includes the current year budget, the 10-year budget model, and dashboard sensitivity analyses.
  • Maintain multiple informational data sets related to the annual budget preparation and analysis of College financial operations and positioning.
  • Monitor the results of operating and capital budgets, prepare variance reports and provide summary budgetary status on a regular basis.
  • Review and approve compensation for all requested new positions, replacement positions, revised positions, and proposed departmental restructuring.
  • Provide analytical support related to salaries and benefits, in partnership with HR for Workday Advanced Compensation (merit pools), the Working Group on Benefits (benefits projections) or its successor group, and other compensation reviews.
  • Prepare detailed fiscal year-end budgetary reporting on the annual operating results of the College.
  • Coordinate the planning, budget and financial information, presentations for the Administrative Advisory Committee, a campus-based committee consisting of faculty, students, staff and administrators, with responsibility for overseeing the annual budget process and making budget recommendations to the President.
  • Integrate key budgetary and financial information from internal and external sources and identifying trends, opportunities and risks that will inform the budgeting and financial planning process.
  • Together with the SVP, support the work of the Finance Committee of the Board of Managers, preparing materials in a timely fashion.
  • Assist the SVP with preparing regular Town Hall budget presentations.
  • Work with colleagues to coordinate restricted, grant, and research funding in terms of the budget.
  • Work closely with IITS to develop and enhance systems, reports and data analysis. Develop budget and financial reports in Workday using the Report Writer function.
The Position Anticipates These Requirements and/or Expectations:
  • A bachelor's degree is required. A concentration in the fields of accounting, economics, finance, or management is preferred. A masters of business administration or similar graduate degree is preferred.
  • Experience with colleges and university finance and budgeting is strongly preferred and budgeting expertise in a non-profit and collaborative setting is expected.
  • Knowledge of FASB and accounting principles and practices for colleges and universities is strongly preferred.
  • A working knowledge of insurance programs and risk management topics are preferred.
  • An unwavering commitment to compliance matters is required; ethics and integrity is a must.
  • Experience with Endowment-supported institutions and with research, restricted and grant funding mechanics for colleges and universities.
  • A solid knowledge of ERPs and sophisticated budgeting tools is strongly preferred and a working familiarity of Workday and Adaptive Insights is beneficial.
  • A minimum of ten (10) years of experience in higher education budgeting or finance required. A leadership role as the principal budgeting director for the institution or for the school or college, as applicable, is preferred.
  • Management experience and a capacity to mentor and lead team members and colleagues. Teamwork and being open-minded to feedback and suggestions from all corners is required.
  • A client service focus and mindset is paramount. Being a value-added, problem-solver is strongly preferred. Creativity and innovation is expected. The position also requires a nimbleness and agility in efficiently managing external forces and internal considerations. A commitment to transparency is expected.
  • Exceptional analytical capacity and quantitative skills is required.
  • Excellent written, verbal, communication, presentation, and organizational skills is strongly preferred. Business savvy and superior negotiating skills would be preferred.
  • Comprehensive knowledge of Microsoft Office suite, specifically advanced Excel knowledge is strongly preferred.
