Woodbury University invites applications for an Administrative Assistant in the School of Business. This position reports to the Dean of the School of Business. Oversees and ensures that the office administrative functions of the School of Business are effectively carried out. Performs technical and/or specialized office support work, and balances complex priorities, deadlines, project schedules and other assignments

This position qualifies for University sponsored employee benefit plans and programs (e.g., group health insurance, life insurance, tax deferred annuity plan, annual vacation, sick, and paid holidays), subject to the eligibility requirements and conditions of each plan and program. 

 

Responsibilities

  • Attends to a variety of administrative details such as keeping informed of school activities, transmitting information, interpreting policies and procedures that relate to administrative duties of the School of Business, in coordination with or at the direction of the Dean and Program Administrators and monitoring day to day operations of the units.
  • Assists in the School’s communication activities including social media outreach and serving as liaison between the School and University Marketing.
  • Assists in the preparation of the annual budget for the unit(s), monitors and tracks expenditures at the School level.
  • Prepares correspondence, reports, forms, vouchers, purchase orders and specialized documents related to the unit from drafts, notes, brief instructions, corrected copy; proofreads materials for accuracy, completeness, compliance with university policies, formatting, and correct English usage, including grammar, punctuation and spelling.
  • Maintain archival records and data for accreditation purposes (AACSB, ACBSP, and WASC). Work with chairs and accreditation coordinators as necessary.
  • Assists with project research and report preparation related to the activities of the School of Business.
  • Record minutes and perform recordkeeping duties for various committees and councils as assigned
  • Other duties as assigned.

 

Requirements

  • Bachelor’s degree in a related field or equivalent preferred.
  • Minimum 2 years of administrative support experience preferably while working in a college or university setting.
  • Excellent interpersonal communication ability to accommodate and interact with a diverse group of co-workers, staff, and students.
  • Ability to troubleshoot office administration problems and respond to all inquiries and requests related to work area.
  • Knowledge of a variety of computer programs such as Word, Excel, PowerPoint, Adobe Acrobat, Photoshop, Quark or In-Design, web site maintenance, FTP usage, internet research as well as proficiency in working with scanners, printers, fax machines, and copiers

 

Physical Requirements

  • Close vision, hearing/listening, and clear speech.  
  • Manual hand/fingers dexterity. 
  • Walking, lifting, and carrying up to 25 pounds.  
  • Ability to utilize office equipment such as computers and copiers  
  • Combination of sedentary work, kneeling, stooping, bending, sitting, squatting, standing, etc.  
  • Works with/around and has verbal and face-to-face contact with others.  
  • Works indoors in an office environment majority of the time.   
  • Simple to complex reading, writing, clerical, and math ability.
