About the Opportunity:
This temporary full-time (40 hours per week) Operations Assistant (OA) position serves as the first line of contact for visitors and students to the Vancouver Campus and supports the campus community.

Reporting to the Operations Manager, the OA ensures that students and faculty are appropriately set up to conduct classes and supports events. As an essential support within the Dean's office, the OA works closely with campus leadership and staff and responds to requests from a variety of stakeholders and follows up with them to ensure satisfaction all while approaching each encounter in a gracious, attentive, courteous, and service-oriented manner.

The OA will coordinate and support events both virtually and on-campus and by working closely with the Vancouver campus team, will support activities for the benefit of students and our campus community. This position plays an important role on our team, ensuring campus procedures are consistent, reliable, and well communicated.

Responsibilities:
  • Provide support to campus community in areas of Wellness and Covid-19 safety, including coordination and tracking of student information related to self-administered testing and vaccination status.

  • Providing customer service and answering questions of students and professors, which may include troubleshooting technical issues and assisting with classroom technology.

  • Assisting with set-up and coordination of virtual events, as well as room setup, breakdown, and reconfiguration for in person events and activities

  • Acting as a liaison and providing hospitality to incoming visitors which could include students and staff from other locations, business partners, and prospective students

  • Assisting with student orientations, and online campus resources for students

  • Assisting with various campus events

  • Providing support to operational processes related to procurement, inventory management, campus operations, facilities, and at times student services

  • Completing administrative duties, including but not limited to assisting faculty with printing handouts, organizing marketing materials, and maintaining campus inventory

  • Special projects as needed.

    An ability to work flexible hours is required. Our campus hours are 9:00 am to 9:00 pm and this position may alternate between evening shifts and day shifts to ensure campus coverage. Weekend shifts may also be required on occasion.

    Qualifications:
    Bachelor's degree and two to five years of progressively responsible administrative support experience in a fast-paced and service-oriented environment or relative combination of education and experience required. Ability to work in a highly flexible and innovative environment with an expanding role and shifting responsibilities. Strong interpersonal and written communication skills (including very strong writing and proofreading skills) required. High degree of diplomacy, customer service and organizational skills required. Demonstrated ability to handle multiple tasks simultaneously, respond to last minute requests, solve problems, act with discretion, adapt to change and maintain a professional demeanor at all times. Willingness to be pro-active, take initiative and ownership, and build win-win situations. Sound judgment and ability to deal effectively with highly visible and confidential matters is essential. Must enjoy meeting with people and handling needs of a wide array of student, staff, faculty and visitors. Must be able to handle sensitive material, set priorities and work independently or as part of a team. High degree of proficiency with MS Suite Office, Outlook, InDesign, Power Point, website, and database management.
