As a part of Student Engagement and Wellness at Metropolitan State University of Denver, the Student Care Center and Dean of Students Office are committed to student safety and well-being by fostering a university community of integrity and respect. The scope of the Student Care Center includes the facilitation of non-clinical case management on behalf of the CARE Team (behavioral intervention team), generalized support and referrals for students in crisis, oversight of the Roadrunner Food Pantry, managing the Student Emergency Retention Fund, assisting with public benefits and oversight of the Epic Scholars and HOPES Program. The functions within the Dean of Students Office include student conduct, student conflict resolution services, coordination of compliance responsibilities, and management of sexual misconduct prevention education and efforts. The two offices collaboratively coordinate the CARE Team (behavioral intervention team).

The Office Manager/Case Management Assistant will play a critical role in the Student Care Center and Dean of Students Office by responding to and triaging telephone calls, email requests, and walk-in guests, supervision of student employees, assists with grant reporting, manages budgets within the Student Care Center, maintains and purchases supplies, and assists with presentations and events. Additionally, the Office Manager/Case Management Assistant participates in the management of the Roadrunner Food Pantry, and assists with other functions within the Student Care Center. This position coordinates budget and payments for the Student Emergency Retention Fund. In addition, this position responds to emergency fund applications and CARE case management inquires in the Student Care Center.

This position reports to the Director of the Student Care Center. The Office Manager/Case Management Assistant works with the Director of Student Accountability and Behavioral Intervention and the Assistant to the AVP /Dean of Students/Special Project Manager with budget management, purchasing, and human resources support functions. Additionally, the position works closely with the team members within the Student Care Center and Dean of Students Office regarding daily operations and projects.

IND208 Duties/Responsibilities
OFFICE MANAGEMENT DUTIES :
-Oversee reception of visitors and callers to the offices. This includes conducting initial assessment of visitor/caller needs, making appropriate referrals, resolving problems and answering questions regarding policies and procedures, and triaging walk-in appointments or callers. Visitors and callers are primarily MSU Denver students, staff, and members of the faculty but also includes diverse external community members, family members of current and prospective students, and others.
-As funds are available, coordinate with other professional staff to recruit, hire, train, supervise, and evaluate student staff members to assist with reception and project duties in the Student Care Center and Dean of Students Office. This position may serve as a direct supervisor of student staff, and/or may coordinate closely with other professional staff who serve as the supervisor on record.
- Ensure all visitors and callers to the offices are welcomed in a safe and secure environment in which individuals with diverse social identities are respected and valued.
- Purchase/procure office supplies and equipment, maintain departmental inventories, and develop/maintain systems for effective office operations related to supply and equipment management.
-Coordinate all fiscal transactions for the offices, including the creation and management of Special Purchase Orders (SPOs), Purchase Orders (Pos), check requests, and related. Additionally, work to coordinate payment with all vendors and/or contractors used by the offices to ensure appropriate and timely payment. Manage payment of invoices, prepare contracts, funds transfers, and related functions for the Student Care Center and Dean of Students Office, in accordance with state and institutional fiscal policies.
- Assist with scheduling of appointments and meetings for professional staff members.
-Coordinate events hosted by staff in the Student Care Center and Dean of Students Office. Arrange for event/meeting space and related logistics, arrange for catering, décor, and/or special elements, prepare and/or coordinate relevant materials and supplies, audio-visual equipment, set up RSVP /participant tracking mechanism and/or manage RSVPs, and related duties.
-Manage the flow of and appropriate electronic storage (filing) of all paperwork through the Student Care Center and Dean of Students Office including personnel, budget/fiscal, and travel approvals and related documentation.
- Assist other professional staff in the Student Care Center and Dean of Students Office with strategic plan initiatives, communication plan, resource allocation and coordination, personnel record keeping, and travel and accommodation arrangements.
-Assist Student Care Center and Dean of Students Office staff with a variety of presentations (e.g. new student orientation and similar).
-Assist Student Care Center and Dean of Students Office staff with assessment projects, as requested.
-Manage the Student Care Center and Dean of Students Office websites. Update content and images, upload forms and other elements, and otherwise ensure that the website appropriately reflects the services offered to students.

CASE MANAGEMENT ASSISTANT DUTIES :
-Oversee Student Emergency Retention Fund budgets. Assist in the development of emergency fund materials and reports. Assist in the assessment of the fund and in recommendations for improvement. Schedule and assist in the facilitation of emergency fund Committee meetings.
-Assist in the review of emergency fund applications. Discuss narratives and documentation with students. Prepare notes for review by Committee members and make decisions regarding emergency fund applications when assigned.
-Assist with events, such as SNAP registration activities. Schedule facilities, coordinate with presenters, invite participants, order food, and send assessments.
-Assist in the overall management of the Roadrunner Food Pantry. Assist in the procurement of food and plans for distribution. Assist in the selection, training, and supervision of student staff. Ensure quality services are provided to Roadrunner Food Pantry clients and coordinate surveys and assessments. Evaluate services provided through the Roadrunner Food Pantry and make recommendations for improvements.
-When the Roadrunner Food Pantry is not open or when a student cannot access campus to utilize the Roadrunner Food Pantry, purchase electronic gift cards that will enable students to purchase food from a nearby grocery or discount store. Maintain appropriate records of gift cards purchased and reallocate charges as necessary.
-Assist students as they complete necessary applications to receive or determine if they are eligible for public benefits.
-Assist in grant reporting for the Student Care Center.
-Other duties as assigned Required Qualifications
  • Bachelor’s degree from a regionally accredited college or university
  • Excellent written and verbal communication skills (error-free and able to clearly articulate ideas in written format)
  • Ability to be detail-oriented with strong organizational, planning, and multi-tasking skills
Preferred Qualifications
  • Professional work experience in a higher education setting
  • Professional experience working in a case management office or office that coordinates individualized support services for clients/students
  • Masters degree in higher education administration, social work, counseling, business or a related field from a regionally accredited college or university
  • Demonstrated values related to equity and social justice
  • Experience developing and/or updating websites using a content management system
  • Experience coordinating purchasing, budget and/or related fiscal functions
  • Bilingual (English and Spanish)
