Job Description Summary

Responsible for providing confidential and multi-faceted administrative support to the director of Talent, Labor Relations and Engagement ( TLRE ) and unit staff to include processing unemployment claims, scheduling meetings, conferences and Knowledge Transfers, purchasing and budgeting, and work order delivery system.

Minimum Qualifications

  1. High school diploma or equivalent. Associates Degree preferred.
  2. Three years of progressively responsible office/clerical experience.

  • Coordinates and maintains appointment calendar and establish meeting schedule for director of TLRE for meetings, conferences and Knowledge Transfers.
  • Provides administrative support to the director and members of the TLRE team.
  • Prepares PowerPoint presentations and Excel reports as needed.
  • Attends unit staff meetings and prepares and distributes minutes.
  • Conducts policy and procedure research and provide information related to employee and labor relations procedures and practices, and Human Resources policies and laws.
  • Conducts Knowledge Transfer Sessions as assigned.
  • Processes unemployment claims and reviews quarterly bills for accuracy.
  • Coordinates the selection and purchase of the Service Awards and Honors Convocation awards.
  • Coordinates Adjunct Service Awards Program conducted as a part of the Adjunct Summit.
  • Attains and maintains proficiency in the use of up-to-date computerized office technology including desktop scanners.
  • Prepares outgoing mail for regular, registered, or express delivery.
  • Prepares materials, reports, and mailings related to confidential matters and maintains confidential office and correspondence files.
  • Prepares and requests copies of documents and publications through Printing and Duplicating Services.
  • Performs other related duties as assigned.
  • Oversees and supervises unit procurement process of goods and services.
  • Monitors budget, initiates expenditures and is responsible for maintaining accurate budgetary records.
  • Prepares and types correspondence, reports, and other materials as assigned to include but not limited to the Administrative Emergency Contact List, Administrative Staff List, Holiday Calendar, Microsoft Outlook Address Book Listserv, purchase requisitions, check requests/purchase requisitions, etc.
  • Monitors release of partial and completed purchase orders to the accounting office for payment.
  • Prepares TLRE updates to the HR Portal Page and forwards to HRIS for posting.
  • Sorts and distributes incoming mail.
  • Responsible for complying with all required College-mandated training within the prescribed timelines.
  • Performs all other duties as assigned.
Job Requirements

  1. Must be available to work Monday – Friday, 8:30 a.m. to 4:30 p.m. Overtime may be required. Work schedule subject to change based on the needs of the department.
  2. Ability to communicate effectively in spoken and written standard English.
  3. As required by the 1986 Immigration Act, be prepared to present acceptable documentation showing your identity and that you are a U.S. citizen or an alien who is authorized to work.
