Job Description:

Amherst College invites applications for the Administrative and Scheduling Coordinator position. As a key member of the Office of the Provost and Dean of the Faculty, the successful candidate will work as part of a diverse team to support the immediate, continuing, and long-range work of Amherst College's chief academic officer, the provost and dean of the faculty (hereafter referred to as the provost), and the provost's office.

The administrative and scheduling assistant is responsible for reception and general office functions to support the provost, the associate provosts, the assistant to the provost and office manager, and other members of the provost's office. Responsibilities include maintaining the provost's calendar; responding to telephone, email and in-person inquiries; filing, record keeping, and assisting with the provost's correspondence. This position requires a high level of discretion, confidentiality, and professionalism and contact with colleagues across the college.

Summary of Duties and Responsibilities

Reception/Calendar Coordination:
  • Greet a diverse set of visitors
  • Maintain the provost's calendar, scheduling in-person and Zoom meetings
  • Coordinate meetings, including set-up and support, both in and outside of the office (conference calls, Zoom meetings, catering, etc.)
  • Schedule events (find locations, create and send invitations, plan menus and order food, log in RSVPs, send reminders, and assist with the event when it takes place). This could include the following events (and others) organized by the provost's office: lunches and dinners; meetings of the chairs of academic departments and programs, the heads of administrative units, academic department coordinators, and members of the provost's division, etc.
  • Order supplies and maintain office equipment
  • Copy and scan documents
  • Receive and distribute mail
  • Monitor and respond to the provost's office email account
  • Prepare and maintain files
  • Prepare documents for the provost's signature
  • Prepare packets for the provost to provide during interviews with job candidates.
  • Work with the registrar's office to solicit and phonetically transcribe student's names for commencement and related events
  • Support the work of the Institutional Review Board
  • Solicit faculty annually for updated CVs
  • Assist with updates to the provost's website

Qualifications
Required:
  • High school diploma plus additional specialized training
  • Ability to communicate effectively
  • Strong organizational and time management skills with the ability to handle multiple priorities
  • Commitment to working with a diverse and inclusive community
  • Ability to maintain a high level of discretion and professionalism
  • Ability to take initiative, work independently, and be part of a team
  • Proficiency in Google Suite, Word, and Excel required; experience using Workday a plus.

Preferred:
  • Bachelor's degree
  • Three to five years similar or related experience preferred
