The Campus Activities and Programs (CAP) Center is the hub of student-facing activities outside the classroom. Whether planning major events such as concerts, weekend activities or student organization functions, the CAP Center strives to create an exceptional out-of-class experience. The CAP Center is looking for a creative and organized person that enjoys working with college-aged students and is excited to be a part of this student-centered team. This is an 11 month, benefits eligible position.

The CAP Center Office Assistant reports to the Office Coordinator and provides support to professional staff including the Associate Dean of Students, the Director of Outdoor Education & Leadership (OEL), the Director of Campus Activities and Student Media, and the Assistant Directors of Campus Activities and Programs in the daily operation of the office.

Additionally, the CAP Center Office Assistant oversees the marketing of CAP Center and student organization programs, the Elaine Langone Center Box Office, student group fundraising sales, scheduling of events with the Events Management System, CAP Center and Student Organization printing for campus events, and supervision of the front desk student staff. Responsibilities include the implementation of social events and leadership development programs for the campus community including the publicity and contract preparation for each event. This individual handles sensitive and confidential information in a professional manner. The successful candidate will have the ability to work with and support a diverse faculty, administration, staff, student and community population.

Job Duties:
* Serves as the front-line point of contact for the CAP Center by managing incoming phone calls, mail and email, and all walk-in traffic.
* Develops marketing materials for CAP Center events and pre-orientation programs, including creating and printing posters for events and programs.
* Serves as primary CAP Center contact for Elaine Langone Center Box Office in processing ticket sales for Bucknell students, staff, alumni and community members.
* Monitors and manages display areas, including bulletin boards and digital advertising screens and outdoor publicity areas.
* Provides primary support to the CAP Center staff including the Associate Dean of Students, CAP Director, and Director of OEL. Schedules all CAP Center office meetings, prepares agendas for meetings as requested, and supports CAP Center assessment efforts.
* Oversees management of the CAP Center office space, including but not limited to ordering and re-stocking supplies, organization and cleanliness of the space.
* Coordinates event planning marketing, reserving space, ordering dining needs, producing diagrams, and preparing necessary materials with CAP Center staff and student organization leaders.
* Supervises the CAP Center student desk staff, including the hiring, training, scheduling and evaluating of staff.
* Oversees fundraising, sales, deposits, and reconciliation for student organizations and academic classes.
* Manages online and in person registration, waivers, and scheduling for CAP Center and Outdoor Education & Leadership events, such as BuckWild, ClimBucknell, Bison Bikes, bus trips, adventure trips, and Rent Master for equipment rentals.
* Assists with administrative components of the student yearbook, including senior portrait room reservations, verifying the Ads for Grads section, and shipping returned yearbooks.
* Schedules and manages usage guidelines for CAP Center spaces, including the Student Seminar Room, the Student Hearth Space, fire pits, Bison, 7th St. Cafe and digital advertisement signs.
* Manages mailings and correspondence for donor/gift recognition.
* Handles the reconciliation of travel and expense reports, and assists with travel arrangements, for CAP Center staff.
* Collaborates with the program director and intern on the management, scheduling, and assessment for the student Wine/Beer Tastings program.
* Assumes other duties and projects as assigned.

Minimum Qualifications:
* High school diploma or equivalent
* Three (3) years of office experience
*Ability to demonstrate creativity and innovative skills
* Solid customer service skills, as well as the ability to work effectively in an active work environment
* Demonstrated computer skills, including proficiency with Microsoft Office Suite and Google Docs
* Strong interpersonal skills and a desire to work with diverse, energetic, talented, college-age students
* Excellent oral and written communication skills
* Demonstrated organizational skills including the ability to work independently or in a group
* Ability to multi-task and manage multiple deadlines
* Ability to handle confidential or sensitive information in a professional manner
Preferred qualifications:
* Bachelor's degree
* Experience with a content management system (CRM)
* Experience with digital design software
