General Description

The Senior Coordinator of Donor Relations and Stewardship will play a key role in implementing CTY’s individual and foundation stewardship plans, with the overall goal of strengthening CTY’s fundraising efforts through donor retention. Working with the Director of Stewardship and Operations, the Senior Coordinator of Donor Relations and Stewardship will create and maintain stewardship resources, and will be responsible for executing departmental stewardship plans in a timely and efficient manner. The Senior Coordinator will also provide relationship management support to the Sr. Director of Development and gift officers, to ensure that all contact with donors and prospects is properly recorded. As this is a new position within the department, it presents an excellent opportunity to design new systems for sharing gratitude and relevant stories with CTY’s donor base.

Primary Duties

  • Work with the Director of Stewardship and Operations and Sr. Director of Development to assist in the coordination of and communication with two Advisory Councils, including stewardship efforts;
  • Assist with the development and dissemination of additional stewardship touches based on donor category (i.e. first-time donors, loyal donors, etc.);
  • Assist in the identification and dissemination of monthly communications (news articles, press releases, book excerpts, etc.) relevant to CTY’s mission, to help advance the department’s content-based stewardship;
  • Assist the Associate Director with maintaining the Stewardship and Communications calendar, and send regular reminders to development staff when deadlines are approaching;
  • Provide relationship management support for gift officers
  • Assist with gift processing
  • Coordinate distribution and mailing lists for the annual report and other development stewardship communications;
  • Complete additional training in the generation of reports using Aladin and Business Intelligence and serve as a departmental point person for reporting needs;
  • Oversee the assignment of student scholarship recipients to donor funds in conjunction with the Financial Aid office, and ensure that all gift requirements are met (i.e. geographical location of student recipient matches donor’s intent);
  • Coordinate the requests for and receipt of thank you letters to and from student scholarship recipients and their parents/guardians;
  • Assist with the development and completion of reports to funders/donors, including grant reporting, and assist with the completion of proposals and supplemental materials.
  • Keep informed through active participation in the Donor Relations Liaison Group, bringing any updates and changes in policies and procedures to the attention of the department;
  • Coordinate all stewardship supply needs with appropriate departments, including ordering notecards, branded giveaways, and other items as needed;
  • Supports the effort to identify/qualify new prospects who should receive direct gift officer attention.

Minimum Qualifications:

  • High School Diploma
  • Five years related work experience

Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.

Preferred Qualifications:

This position requires excellent written and verbal communication skills to present and deliver information and data effectively, and a high level of discretion and comfort working with confidential data. Candidates should have a high degree of accuracy and attention to detail. The ability to manage multiple tasks simultaneously and work well under pressure as well as in a team environment is essential. Knowledge of constituent management database systems is preferred.

Excellent database management skills and proficiency in MS Office are required. Candidates should have a strong interest in advancing CTY’s mission through strategic stewardship.
