The Office of Financial Aid is seeking a Financial Aid Coordinator who provides support to the office in all facets of aid administration and plays a significant role in communication with students, faculty, and staff. The successful candidate will have a strong foundation in financial aid, a commitment to providing the highest levels of customer service and knowledge of the post-secondary admissions application, financial aid, billing, and registration processes.

This position offers a flexible hybrid work schedule with remote and in-person workdays. May also be required to attend periodic in person meetings, professional development training, and conferences and support in person school events. When working remote, candidates must have the ability to participate in virtual meetings and receive and make phone calls as needed.

Specific Duties & Responsibilities:

    The Financial Aid Counselor provides students with quality counseling and resources regarding options to finance their education. This includes information on the types of federal, institutional, state, and private aid programs, eligibility and application requirements, aid disbursements and loan repayment terms. Communications may be one-on-one in person, Zoom, Student Case Management system, Microsoft Teams, email or telephone. S/he will also provide support to other constituents within the school regarding student aid related matters and/or school policies. Assist in the day-to-day administration of the Federal Work-Study Program (FWS); log/track and prepare job postings: process job assignments; monitor student earnings and overall program activity; communicate with students and employers regarding their FWS awards and jobs. Process application documents. Verify eligibility, authorize awards, monitor and track payment of private education loans and institutional, state and private scholarships funds utilizing various electronic processing systems. These include PowerFAIDS Financial Aid system, Electronic Loan Management (ELM), Maryland College Aid Processing System (MdCap), Americorps, Gates Millennium, College Board CSS Profile and other outside financial aid related processing systems. Support the JHU Student Enrollment and Account Management (SEAM) Team with case responses and walk-ins for divisional specific inquiries and/or unique student circumstances. Update OnBase Document Imaging system to create an electronic record of various student financial aid related documents. Generate standard batch PowerFaids communications as scheduled. Support the Admissions Office in recruiting and new student orientation events; create and maintain an inventory of financial aid handouts, flyers, etc. for distribution.

Other duties as assigned include but are not limited to:

  • Monitoring student enrollment each term.
  • Review/analysis of reports to ensure compliance and/or consistency of student data.
  • Participate in training sessions sponsored by JHU, national and regional financial aid associations, The College Board, and other opportunities to stay abreast of Federal Title IV, state and institutional policies, and procedures.

Minimum Qualifications (Mandatory):

  • Bachelor’s Degree.
  • Two to three years’ experience in financial aid administration or other closely related academic services area.
  • Participate in training sessions sponsored by JHU, national and regional financial aid associations, The College Board, and other opportunities to stay abreast of Federal Title IV, state and institutional policies, and procedures.

Special Knowledge, Skills & Abilities:

  • Knowledge of Federal Student Aid programs and regulatory requirements.
  • Strong commitment to student services.
  • Capacity to follow wide-ranging polices and standards required for aid administration.
  • Ability to communicate technical details and instructions clearly and concisely, both verbally and in writing among diverse customer groups.
  • Well organized, detail oriented with an ability to prioritize multiple projects in a fast-paced environment.
  • Experience with student information systems.
  • Prior experience with PowerFaids Financial Aid System, OnBase, Salesforce or other related information management databases desirable; Proficient in Microsoft Office applications.

Starting Salary Range: $20.02 - $27.51/hr (commensurate with experience)

This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
