Minimum Qualifications: 

Bachelor’s degree earned from a TBR-recognized accredited institution.


Preferred Qualifications:

Bachelor’s degree earned from a TBR-recognized accredited institution. One year or more of experience with Banner, Degree Works, and Reverse Transfer. One year or more of experience within a Records/Graduation Office.


General Function: 

Provide graduating student services including but not limited to determining if graduation requirements have been met. Track graduation status from the point of graduation intent through the posting of degree attainment. Utilize and maintain automated degree audit software.


Major Duties and Responsibilities:

  • Analyze student transcripts to determine if AA, AS, AFA, AAS, AST degrees and/or Certificate requirements have been met; Verifies hours earned, residency requirement and GPA
  • Serve as primary contact for Reverse Transfer. Utilize list of students that opt-in for Reverse Transfer to perform degree audit and confer degrees for Reverse Transfer students. Download and update equivalency tables for TN Transfer Pathways (TTP) for Reverse Transfers. Uploads catalog with programs for TTP/ UP to the Reverse Transfer database
  • Utilize completed file provided by Curriculum Chair for the Associate of Science in Teaching (AST) degree which include three letters of recommendation, Praxis scores and all other required documentation to certify student eligibility for graduation in order to confer degrees
  • Process and track approved substitution forms
  • Enter degree requirements (General Education Core and majors) into BANNER
  • Assist other staff with the organization of commencement exercises; process requisitions as needed; coordinate ordering caps and gowns and mailing of diplomas; develop in-house diplomas. prepare lists and submits names of degree candidates for program, graduation and diplomas
  • Prepare graduation statistics and reports for TBR, National Student Clearinghouse, and THEC for outcomes- based funding
  • Respond to questions regarding admissions, substitutions/exceptions, and graduation via phone and/or email
  • Other duties as assigned


Knowledge, Skills and Abilities:

  • Knowledge of confidentiality statutes and policies as they apply to FERPA and assigned programs
  • Maintains current knowledge of Motlow catalog and programs of study to ensure accurate and effective assistance to graduating students
  • Strong interpersonal skills and the ability to effectively communicate with a wide range of individuals and constituencies in a diverse community
  • Strong computer skills, to include database management, word processing, creating spreadsheets, e-mail, and the internet
  • Familiarity with institutional articulation agreements and procedures
