The Johns Hopkins University, one of the world's premier teaching, research and patient care institutions, is seeking candidates for the position ofSenior Administrative Coordinator within its Investment Office, reporting to the Managing Director, Investment Operations. The Investment Office has responsibility for investing the endowments for the university, Johns Hopkins Hospital, and related endowed entities totaling more than $7 billion, among other assets.

Provide expert administrative support to the JHU Investment Office leadership, with primary support of the Managing Director, Investments as well as other members of the investment office in an engaging, fast-paced environment. The person must be extremely proactive, energetic, adaptable and reliable. The ability to remain agile to changes real-time is a must. In addition, the candidate must be an effective communicator and be able to anticipate the needs of the team members they support.

The candidate must enjoy interacting with a variety of different types of people and helping address a wide range of needs. This person will be a primary liaison interacting with senior leadership and staff members of numerous external investment organizations and service providers, as well as the senior leadership and staff members of the university. Specific Duties & Responsibilities:

Specific responsibilities include but are not limited to:

  • Manage conflict-free calendars for the Managing Director, Investments and other senior leadership team members:
  • Coordinate internal meetings, calls, and schedules in close coordination with the Office of the President, the Board of Trustees’ Office, the Office of the Senior Vice President for Finance and Administration, and other departments
  • Coordinate external meetings, calls, and schedules with numerous investment management companies and service providers
  • Coordinate travel and logistics to support scheduling for the senior leadership team and senior investment professionals
  • Serve as primary host for meetings, including room/call set up and attendee support, and collection and dissemination of meeting materials
  • Perform typical office administrative tasks, processing of invoices and payments, and other duties as assigned
  • Minimum Qualifications (Mandatory):

    • High School Diploma/GED required.
    • Bachelor's Degree preferred.
    • Minimum five years’ work experience required in a fast paced, demanding environment.
    • Additional education may substitute for experience, to the extent permitted by the JHU Equivalency Formula.

    • Demonstrated ability with office desktop technology, including working with Microsoft Office suite of products and Adobe Acrobat.
    • Experience in accurate data entry.

    JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.
