Position is responsible for performing a variety of professional and administrative duties that facilitate the day-to-day operations of a function, program, and/or department. Assists in program planning and development; interprets, monitors, and analyzes information regarding operating policies and procedures; administers budgets; and coordinates academic and/or staff personnel matters. Resolves problems that have a significant impact on the overall goals of the department. Qualifications

This position requires discretion and requires an understanding of financial management, marketing, and grants administration.
Responsibilities
  • Administer financial records and paperwork, maintain budget records, prepare reports related to ongoing expenses, program, and arrange payments of honoraria. Assist in preparation of operational budgets for department. Review expenditures to ensure conformance with budgetary provisions. Monitor and review accounting and related system reports for accuracy and completeness; prepare and review budget, revenue, expense, invoices, and other accounting documents relating to grants and regular operations.
  • Manage the program’s communications infrastructure, including website, contacts database, listserv, and student records database. Produce online news updates, program and event descriptions, annual reports and newsletters, and blog posts. Design and produce brochures, and posters.
  • Coordinate day-to-day business activities of PARCC . Intake and coordinate administrative work for PARCC faculty associates. Coordinate space and provide orientation on PARCC to new students. Oversee maintenance of physical space, equipment, and supplies for office suite housing 6+ faculty and 14+ students. Arrange travel, accommodations, and office space for visitors, faculty, and students
  • Administer certificate of advanced study in Conflict and Collaboration: Advises students of requirements and course enrollment, processes students’ certificate completion with the Graduate School, work with Director to complete annual assessment. Also manages certificate information on the website. Manage the following duties and responsibilities independently or consults with PARCC Director on:
  1. E- PARCC, an annual international competition for teaching materials in collaborative governance, including maintaining the timeline, advertising the competition, organizing entries, communicating with faculty, and providing payment to faculty winners.
  2. PARCC Summer Institute, including planning with faculty and University College staff, preparing course budgets, marketing Institute within University and in the community, supporting courses with administrative assistance, preparing final financial report and reviewing with the Dean’s office.
  3. Research Mini-Grant competition including outreach, organizing entries, and providing payment to faculty winners
  • Coordinate administrative work associated with conferences, workshops, visiting speakers, special meetings, and PARCC co-sponsored events. Manage logistical planning, including space acquisition, publicity, travel and lodging arrangements, technology management, food, etc.
  • Complete other tasks and duties as assigned, including for example, coordination of research directors, support of working groups, communication with publishers, and interactions with University and Maxwell administrators.
