About the Opportunity:
The Administrative Coordinator position provides direct administrative support to the College or Arts, Media and Design Administration and Finance team, as well as provides administrative coverage for the college's academic departments.

Responsibilities:
This position will support CAMD departments by providing ad hoc office coverage as needed, including front desk reception, managing on site work studies, resolving facilities and IT issues, and triaging requests from the chair, faculty, and students. The position will require a great deal of flexibility as they will be expected to move between six academic departments (Art + Design, Architecture, Journalism, Music, Theatre, Communication Studies) as needed. The Administrative Coordinator will need to work with CAMD's full time department admins to understand individual department structures and be able to step in when needed. The Administrative Coordinator will also serve as a liaison between the CAMD Dean's Office and the academic departments by facilitating strong working relationships among department admins, and between department admins and the Dean's Office staff. This will include helping to schedule meetings with the CAMD Administration and Finance group and all academic admins, maintaining a running list of best practices for college processes and procedures, and helping communicate changes in process and procedures to departments.

The Administrative Coordinator will report directly to the Director of Administration and Finance, and will support space planning, budgetary, and human resources functions for the college. They will work with Director of Admin/Finance on identifying space needs and corresponding concerns, maintain college space records, project annual space costs, help with oversight of renovation projects, help coordinate large-scale moves, and help coordinate annual and ongoing capital plans. They will assist with the part-time hiring process by initiating and tracking contracts for part-time faculty, communicate with part-faculty, academic department hiring committees, and human resources to coordinate hiring and onboarding, assist with university I-9 process, and assist in digitizing and organizing part-time faculty records. They will support budgetary responsibilities by monitoring the Dean's Office operating budget, reconciling the budget monthly, analyzing trends in budget, conducting data analysis and reporting related to CAMD Dean's Office Budget, and defining departmental calendar, processes, and procedures.

The Administrative Coordinator will also undertake and manage special projects to support the CAMD Administration and Finance group and CAMD Dean's Office.

Qualifications:
Effective organizational, communication (both verbal and written), analyical and interpersonal skills. Ablity to independently prioritize and manage tasks and demands along with excellent attention to detail. Ability to multitask and take initiative. Highly proficient with Microsoft Office applications such as Word, Excel and PowerPoint. . Knowledge and skills typically acquired through a bachelor's degree (or equivalent), at least two to four years' experience, preferably in higher education.
