Assist faculty in departmental logistics: course scheduling, budgeting, financial paperwork processing, supply purchasing, preparing adjunct faculty contracts, coordination of departmental events, hiring and supervising student workers, and assisting departmental activities.

Your Team: School of Communications within the area of Academic Affairs

Essential Functions of the Role:
  • Course scheduling for Fall, Spring, and Summer semesters in conjunction with the Chair and Academic Affairs Office.
  • Finance Responsibilities: assist in budget planning through monitoring budget, handle faculty travel reimbursements. Work with outside vendors and the Purchasing department for supplies, capital equipment, and computer equipment purchases. Make requisitions for outside services.
  • Assist Full Time Faculty: collect faculty information, including syllabi, work plans, and sabbatical applications. Be the main contact for office facilities issues. Maintain faculty personnel files. Prepare faculty special assignment contracts. Coordinate textbook orders.
  • Be office liaison: handle correspondence and phone calls from faculty, students and administrators. Manage department conference room schedule. Prepare course syllabi for the dean's office every semester. Facilitate alumni connections in department.
  • Assist Adjunct Faculty: create contracts. Arrange office space, office hours, computer equipment, mailboxes, course schedule, textbook orders and classroom changes.
  • Hire, train and supervise student workers.
  • Assist with Event Planning: coordinating monthly faculty meetings. Managing room reservation and catering for special events.
  • Liaise for Search Committees: Maintain application files. Coordinate and schedule interviews.
  • Create departmental monthly news flyers.
  • Assist the Forensics team (debate team): car rental. Check requests for tournaments. Supply purchases.
  • Assist Students: Handle students' over-enrollment, late registration, prerequisite-waiving and interest in enrolling in special classes.


Qualifications:
  • Bachelor's degree, or Associate degree with additional work experience, or equivalent experience.
  • Strong organizational skills and ability to multitask and prioritize.
  • Effective interpersonal and communication skills.
  • Detail-oriented with excellent follow-through.
  • Experienced with Word and Excel.
  • Proficient in various types of social media.
  • 1-3 years of office administrative experience.

  • Strong organizational skills and ability to multitask and prioritize.
  • Effective interpersonal and communication skills.
  • Detail-oriented with excellent follow-through.
  • Experienced with Word and Excel.

Grade of Position: A14N

Scheduled Weekly Hours: 36.25

Hiring Range: $43,700.14 - $45,600.04

This position will be exclusively represented by the Service Employees International Union (SEIU), Local 888 for purposes of wages, hours and other terms and conditions of employment.
