Position Announcement

Working at the front reception desk of Business Services, this position is responsible for providing clerical, administrative, and project support to the Business Services department. Maintains a current knowledge of appropriate University policies, processes and procedures in an effort to assure efficiency and integrity of Business Services. Serves as primary point of operational and administrative contact for internal and external constituencies related to Business Services, often on complex and confidential issues. Oversees and/or participates in the coordination, control, and completion of special projects and events in support of financial services activities.   • Oversee general reception, secretarial, and records management assignments for the Dixie State University Business Services office, which includes but is not limited to:
    • Maintaining a positive attitude and rapport in working with University personnel, students, and the general public.
    • Maintaining Business Services accounts, which includes budgets, requisitions, purchase orders, and office supplies.
    • Performing secretarial/clerical duties, including reception, scheduling, maintenance of records and files, and keeping the department website up-to-date.
    • Distributing office mail and taking minutes at meetings.
  • Handle all University outgoing checks and ACH files, incoming accounts receivable payments, incoming loan office payments, and other incoming checks. Process transfers to and from the State Treasurer’s office, as needed.
  • Assist students with issues relating to refunds.
  • Assist with strategic priorities in the office, including basic research and gathering information for projects, drafting letters / memos / presentations / spreadsheets, and coordinating communications about Business Services-related activities (i.e., campus trainings, policy and procedure updates, etc.).
  • Take on special projects and assignments in support of financial services activities.
  • Perform other duties as assigned.
  • High School Diploma/GED, with some college coursework and/or post-secondary certificates, required; Associate’s degree or equivalent preferred.
  • Two years of office/bookkeeping experience required; experience working with accounting records within higher education preferred.
  • Good working knowledge of computer software such as Microsoft Word, PowerPoint, Excel, Desktop Publishing, Internet, basic website design/maintenance, and email. Knowledge of University operating systems such as Banner, Argos, EMS software, etc. is preferred.
  • Excellent customer service, interpersonal, and support-oriented skills in working with students, faculty, staff, and the public.
  • Ability to work in a team environment and be approachable, friendly, and welcoming.
  • Ability to concentrate on several detailed projects in a face-paced office environment, remaining proactive and efficient, with a high level of professionalism and confidentiality.
Supplemental Information

POSITION DETAILS, COMPENSATION AND BENEFITS: Full-time classified staff (overtime-eligible) position. Annual salary of $32,000 - $34,000 depending on qualifications & experience. Desired start date of December 2021.
