JOB SUMMARY 

The College of Liberal Arts & Sciences seeks applicants for a full-time position as an Educational Program Assistant 2 for the Department of Communication. Under the direction of the Educational Program Coordinator, the incumbent will provide programmatic and administrative support to the Department, including purchasing and accounts payable, personnel actions, fiscal account review and transactions, and graduate admissions. The incumbent is expected to work independently, within the defined guidelines established by the program and the supervisor.

DUTIES AND RESPONSIBILITIES 

  1. Provides administrative support to the Department’s Director of Graduate Studies in the coordination of graduate admissions functions. Responds to inquiries, disseminates information, and promotes the Department’s graduate programs. Maintains status of applicants in the graduate application system, and communicates with applicants about their status, including admission and funding offers.
  2. Oversees and directs temporary (student labor/special payroll) employees and the associated SmartHR Transaction and time card processing for the Department.
  3. Coordinates communication between the Department and other campus units in academic and fiscal matters.
  4. Processes faculty travel and reimbursements and other related fiscal documents and serves as a resource for faculty and graduate students on travel and reimbursement policies and procedures.
  5. Processes the purchasing of research equipment and services through online fiscal systems, coordinating with vendors as needed.
  6. Helps to maintain the Departmental website and social media accounts.
  7. Coordinates or provides support for activities and programs conducted by the Department.
  8. Researches and assembles data for budget planning and monitoring.
  9. Performs other related duties as assigned.

MINIMUM QUALIFICATIONS

  1. Bachelor's degree in relevant field
  2. Two to three years of experience in a responsible administrative support position which demonstrates knowledge of administrative methods. 
  3. Experience working independently and as part of a team regarding administrative and program support details and procedures.
  4. Strong technical skills including MS Office Applications and ability to learn new software and systems.
  5. Excellent organizational skills.
  6. Excellent writing and communication skills.

PREFERRED QUALIFICATIONS

  1. Experience working in a higher education setting.
  2. Familiarity with communication as an academic discipline.
  3. Ability to engage, connect, and work with diverse student, administrative, and faculty populations and provide a commitment to the values of diversity, equity, and inclusion in an educational setting.
  4. Experience with online student record or admissions systems.
  5. Experience with online personnel records and recruiting systems.
