Job Description



PURPOSE AND SCOPE:

Provides a broad range of advanced administrative duties for the assigned executive . Ensures that assigned area operates effectively, efficiently and professionally. Responsible for schedule management, office management, meetings and special event preparations, communication liaison, information preparation, correspondence, budget and expenses, and other various s upport activities to assist in the day-to-day operations and projects.

ESSENTIAL JOB FUNCTIONS:

1. Coordinates and maintains executive daily appointment calendar ; Handles and safeguards highly sensitive and/ or confidential matters/records ; Coordinates and schedules cos t-effective travel arrangements

2. Reconciles credit card receipts against approved purchases and billing statements (American Express, Travel and Expense, a nd Procurement card statements); Prepares an d submits expense reports ; Performs EZ Tag program maintenance activities including generating and sending monthly statements to tag holders, processing payments, maintaining dat abase and processing violations

3. Assists in all aspects of meetings which may include Board and Committee Meetings; S chedules conference rooms, creates agenda, takes and distributes minutes, arranges for audio/visual, assists with preparation presentations, reports, WebEx, etc.

4. Composes various co rrespondence and spreadsheets; C ollects and prepares information for executive review for documents, discussions, and meetings with executive staff members and outside individuals and groups

5. Manages a variety of spec ial projects and events and serve on multiple system and ca mpus committees and task forces

6. Serves as liaison between the President | Vice Chancellor, sister campuses, and others; C ommunicates via email and telephone, screens phone calls and greets visitors, ensuring all requests are addressed and handled in a timely mann er

7. Provides highest level of customer service and response to internal and external customers

8. Reviews, revises and updates office procedures as necessary to e nsure efficient office workflow

9. May have responsibility for budget monitoring and budget reconciliations ; May assist with planning and developing the departme nt annual budget, supply management including toner cartridge supplies, printer paper inventory, various miscellaneous office supply orders, office equipment, badges and business cards

10. May handle vendor relationships and coordinate contract submissions to the Office of General Counsel for review and approval

11. Responsible for other reasonable, related duties as assigned

PHYSICAL ABILITIES :

The work is sedentary. Typically, the employee sits comfortably to do the work. However, there may be some walking; standing; bending; carrying of light items, such as papers, books, or small parts; or driving an automobile. No special physical demands are required to perform the work.

WORK SCHEDULE AND CONDITIONS:
  • Equipment used includes, PC workstation running on a LAN in a Microsoft Windows environment, calculator, phone and other general office equipment
  • Interface with internal and external contacts as needed to carry out the functions of the position
  • Work is performed in a climate-controlled office with minimal exposure to safety hazards
REQUIRED QUALIFICATIONS:
  • Associates degree or para-professional/technical certification and at least 5 years of related work experience or an equivalent combination of education and experience
Salary

Hiring salary range is $46,300 to $53,245 annually.

Lone Star College provides a hiring salary range for all posted full-time non-faculty positions. Where your salary offer would fall in that range is determined by your related experience and education. Should you receive an offer of employment from Lone Star College, the resume submitted in the application process will be utilized to calculate your salary offer.
