Position Summary:

Under the direction of Peter Clark, S.J., Ph.D., the John McShain Chair in Ethics, the Research & Development Coordinator will support the management and development of programs administered by the Institute of Clinical Bioethics in affiliation with Saint Joseph’s University. The Coordinator will work closely with other administrators, faculty, board members and external partners to support the department in the coordination of community ethics outreach, events, and marketing for significant upcoming ethical programs and department goals. Under the direction of the Director and Assistant Director will support the management development, execution, facilitation and evaluation of initiatives for the Institute of Clinical Bioethics both domestically and internationally.

Responsible for the processing of expenses incurred by Institute paying invoices, reconciling p-cards, etc., and will also receive payments for the Institute’s consultation services contracts and deposit payments into the proper accounts in the Institute’s budget. Provide budget information to Director and will manage the administrative needs of contracts.

Also, will have a thorough understanding and mastery of time management, strategic planning and development, and consultative/solutions skills, and both industry and product knowledge.

Duties and Responsibilities:              

Essential Responsibilities

  • Assist the Director and Assistant Director with creating and executing a departmental vision and strategic plan to achieve the desired outcomes for the Ethics Consultation Services and research projects.
  •   Manage the Director’s calendar along with faculty, staff, grad/undergraduate fellows, all correspondence and communication in and outside of university with hospitals, board members, speakers etc.
  •  Continue to improve the Institutes website, in collaboration with the outside contractors to ensure the high standard of the Institute.
  • Supports Director and Assistant Director by sending specialized contracts or agreements to each distinct consultant.
  • Works with Institute’s leadership to provide each new partner a fee schedule for consultation services.
  • Track charges for Bioethical Institute services provide information to Director and Assistant Director to aid in benchmarking process.
  • Coordinate legal review and execution of contract development process with SJU departments.
  • Provides ongoing support of signed contracts, partnership budgets, and payment schedules while monitoring for billing of fees not specified to contracted services
  •  Assists Director and Assistant Director when reviewing contracts for additional services at consulter request or annually.
  • Assist clients, administrators and staff by providing clinical materials, updates, and logistics.
  • Assists the Director and Assistant Director in the development of and writing grant proposals by maintaining calendar for submission deadlines and funding requirements.
  • Receive monthly funding opportunities in collaboration with university development department and development committee of the board.

Secondary Responsibilities:

  • Under the direction of the Director and Assistant Director support the administrative needs of ongoing and new ethics research initiatives and international research projects and programs. 
  • Support Managing Editor Internet Journal of Bioethics, Internet Blog and maintain Institute’s website with current information
  • Provide administrative support and coordination  of the Gustafson Research Fellow Grants and Michael Morris Research Fellow Grants committee.
  • Under the direction of the Director and Assistant Director provide foundations and organizations with an official Memorandum of Understanding with the Institute (Consulate of Mexico, Consulate of Guatemala, El Salvador initiatives, St. Xavier’s College, Kolkata, etc.), which support international research initiatives
  • Gather information concerning requests for services with hospitals, nursing homes, and hospices supplying information to Director and Assistant Director.
  • At the request of the Director coordinate the scheduling of meetings to discuss grant opportunities, research programs of the graduate/undergraduate and faculty fellows as well as all functions of the department.

Minimum Requirements:

Bachelor’s degree in related field, Experience working with teams, and groups

Preferred Qualifications:

Master’s degree

1–3 years experience working in academic environment with work experience in project coordination and management

Physical Requirements and/or Unusual Work Hours:

Pay Range $21-$22.50 per hour
