Summary/Objective

This position performs the day-to-day financial operations for the Office of Financial Operations in the School of International Service. The Finance Assistant will process payments and deposits, monitor, reconcile and approve expenses, as well prepare reports. This position will also provide administrative support.

Essential Functions
  1. Performs the day-to-day financial operations, which includes processing and approving transactions associated with payment of invoices, check deposits, reimbursement requests, and credit card transactions. Liaises with the Accounts Payable and with the Procurement & Contracts Department to resolve any issues that may arise. . Prepares purchase requisitions, tracks purchase orders and approves invoices, reimbursements, honorarium and student payments. Resolves problems with vendors, process vendor forms, reviewing Professional Services Agreements and Speaker Agreements, reconciling, and approving corporate credit card transactions, preparing and processing cost transfer requests to allocate expenditure to proper accounts.
  2. Retains detailed accounts for all expense reimbursements and payments. Maintains a computerized tracking system for all purchasing invoices and reconciles these expenses against the general ledgers., Performs record-keeping, monitoring, analysis and reporting, to ensure accurate and timely financial management for the school.
  3. Administrative Support - Responsible for clerical duties and daily office operations such as: ordering supplies, filing, scheduling and coordinating meetings on occasion.
  4. Other duties as assigned.

  • Non-unit position due to confidentiality.
  • Hybrid work arrangement with physical presence three times a week - subject to re-evaluation depending on office needs.

Required Education and Experience
  • Associate's degree or equivalent
  • 2-4 years of relevant experience
Preferred Education and Experience
  • Bachelor's degree
Additional Eligibility Qualifications
  • Excellent organizational skills, attention to detail, written and verbal communication skills, and ability to deal with multiple projects are required.
  • Knowledge of word processing (Word Perfect or MS Word) and Spreadsheet (MS Excel) skills required.
  • Business and accounting skills required.
