Summary/Objective

The Finance Coordinator is directly responsible for the daily operational and fiscal management of the SOE operating, Noodle and IRC budgets. This position tracks budget allocations to actual expenditures and all other financial transactions associated with the daily operational budget. The incumbent will r espond to general inquiries about university budget policy and procedures; forecast quarterly budget results; p articipate in the budget preparation cycle to include budget planning; and track spending as it relates to the internal strategic SOE goals. The Coordinator provides high level budget administrative support to the Director of Finance & Administration with ongoing projects such as financial aid distribution, partnership tuition rate assessments, enrollment trend analysis and monthly budget reports.

Essential Functions
  1. Budget Coordination: Under the supervision of the Director, this position is directly responsible for the implementation and ongoing review of the various SOE base, noodle and IRC program budgets. This includes, but is not limited to: identifying the appropriate general ledger account in which to charge the expenses, reconciliation of program revenues, creating requisitions, following up on purchase orders, requesting blanket orders, executing JE transfers, processing and tracking wire transfers, paying invoices, submitting reimbursements (via petty cash, reimbursement, and disbursement requests), processing SOE credit card charges, monitoring and reconciling SOE PCards, designing and running financial reports, and analyzing monthly “people sheets.” This position reviews financial transactions to ensure compliance with SOE and University policies and procedures and to ensure that the transactions are completed successfully and accurately bringing any potential issues to the Director’s attention. In addition, this position assists in the processing of SOE Professional Service Agreements (PSAs), Memoranda of Agreements (MOAs), and other contracts ensuring that they are consistent with University policies.
  2. Budget Operational and Fiscal Management: Respond to general inquiries about university budget policy and procedures. Develop financial reports, track and monitor the operating budget expenditures to include personnel and non-personnel services including but not limited to supplies, materials, equipment and travel expenditures. Create reports in Excel; summarizing data monthly, quarterly and annually. Provide forecasted quarterly budget expenditures and identify available unspent funds. Participate in the biennial budget formulation budget cycle to include resource allocation recommendations as well as maintain forecasting spreadsheet(s).
  3. Other Duties as Assigned: The position assists the Director of Finance, Personnel & Administration on special projects as assigned.


Supervisory Responsibility
  • This position is responsible for the daily oversight and maintenance of records for the SOE operating, noodle and IRC budget.
  • This position liaises with personnel from Procurement, Accounts Payable and the Office of Budget.
  • This position receives minimal supervision in carrying out responsibilities after initial training.
Work Environment
  • This position reports directly to the Director, Finance Personnel & Administration.

Required Education and Experience
  • Bachelor’s degree with at least three years’ experience in budgetary / forecasting, financial management, and administrative.
  • Advanced computer skills to include Microsoft Excel and Word required. Excellent attention to detail and accuracy.
  • Excellent written and oral communication skills including interpersonal and collaborative skills.
  • Ability to handle multiple priorities in a diverse customer service environment. Project management experience with solid organization and planning skills.
  • Ability to see tasks through to complete resolution.
  • Knowledge of Colleague’s financial management system and/or a related financial management system.
  • Basic statistical analysis skills required.
Preferred Education and Experience
  • Experience in a multi-cultural environment preferred.
