Department Summary

In support of the CSUSB Strategic Plan, the College of Extended and Global Education (CEGE) leads the campus' internationalization and global engagement by collaborating with international partners to develop and promote activities, programs, and services that meet the needs of the university, regional, national, and global communities.

Job Summary

Under the general supervision of the Assistant Dean for International Extension Programs (IEP), the incumbent will be responsible for providing a full range of moderate to complex clerical and general administrative support for the successful facilitation and implementation of IEP programs, including the English Language Program, Study in the USA, Academic Pathway Program, International Training, and Education Programs, and customized short-term programs. The work includes a full range of clerical, secretarial, and general office support functions, as well as technical support at varying levels of complexity.

The work is performed independently under general direction related to goals, and multiple work unit projects and priorities are handled. Large-scale, complex projects with broad, visible impact that involve coordination with other departments are planned and executed. Project needs are identified, detailed plans are outlined, projects are initiated and coordinated, and work is delegated. In addition to administrative duties, the incumbent will perform reception duties, as well as provide support to the Assistant Dean.

In accordance with International Extension Programs (IEP) guidelines, the incumbent will provide timely and accurate pre-arrival information, develop program outlines, hire instructors, coordinate program logistics to support staff and students, and evaluate program outcomes. Strong coordination skills are needed to promote programs, produce online marketing, create and maintain student/faculty databases, and keep track of programs and students. The incumbent has to organize and recommend changes for daily operational and procedural matters; analyze operations and procedural problems; develop, recommend, and evaluate proposed solutions; and coordinate program activities, orientations, and ceremonies. The incumbent will process and respond to emails in the IEP inbox regarding the conditional admission process, enrollment process, the application process, and general student inquiries. The incumbent must show professional oral and written English communication skills to effectively communicate standard reports and information to diverse and multicultural audiences. The incumbent will generate statistical tracking reports on various IEP programs, including student demographics, referrals of partnership and agents, and matriculation data, so must be able to effectively write and present those reports.

Employment Status:
  • This position is Full-time, Non-Exempt, and Temporary (with the possibility of converting to permanent).

Work Schedule
  • Monday through Friday from 8:00 am to 5:00 pm. Some evenings and weekend hours may be required.

Key Qualifications
  • Comprehensive and detailed knowledge of the university infrastructure, policies, and procedures.
  • Thorough mastery of English grammar, punctuation, and spelling.
  • Expertise in using office software, technology, and systems including but not limited to Microsoft Word, Excel, Outlook, PowerPoint, and PeopleSoft.
  • Working knowledge of budget policies and procedures and ability to perform business math, such as calculate ratios and percentages, track and analyze financial and/or budgetary data, and make accurate projections requiring some inference.
  • Ability to effectively handle interpersonal interactions at all levels and handle highly sensitive interpersonal situations.
  • Ability to independently handle multiple work unit priorities and projects; ability to use negotiation and persuasion skills to achieve results and expedite projects.
  • Active problem-solving skills are required along with effective and sensitive interpersonal skills.
  • Ability to apply independent judgment, discretion, and initiative to address problems and develop practical, thorough, and, at times, creative solutions.

Ability to work professionally, collaboratively, and collegially with a diverse group of people, clients, students, and co-workers.

Education and Experience
  • High School diploma or its equivalent AND five years of progressively responsible experience in general office, clerical, or secretarial work, or the equivalent.

Preferred Qualifications
  • Associate degree or BA/BS degree.
  • PeopleSoft experience is preferred.
  • Working experience as a Designated School Official (DSO) is preferred.

Salary:

Anticipated Hiring Range: $3,352 - $3,852 per month

Classification Salary Range: $3,352 - $5,639 per month
